Role Overview
We are looking for a highly organized, intellectually engaged, and tech-savvy Senior Administrative Assistant to provide executive support within the technology domain. This hybrid role combines traditional administrative duties with active involvement in enterprise technology strategy, cybersecurity operations, and project management.
Key Responsibilities
- Coordinate complex, multi-unit calendars for Senior Vice Presidents of Technology and Information Security, managing priorities and scheduling efficiently.
- Prepare meeting agendas, briefing materials, and follow-up documents for executive, steering, and board meetings.
- Organize domestic and international travel plans including detailed itineraries and logistical arrangements.
- Manage professional correspondence including drafting, proofreading, and monitoring communications for timely responses.
- Handle executive and department expense reporting and process invoices in line with corporate policies.
- Act as liaison among Technology, Information Security, and internal/external stakeholders, ensuring clear team coordination.
- Maintain strict confidentiality of sensitive company information.
- Support the creation and distribution of weekly IT activity reports and track technology projects, milestones, and deliverables.
- Assist in process documentation and workflow improvements using foundational process engineering concepts.
- Monitor emerging AI tools, trends, and applications to aid executive decision-making.
- Coordinate with vendors, manage technology sourcing, support special projects, and maintain office supplies for executives.
- Engage in departmental technology initiatives and cross-functional projects as needed.
- Provide excellent guest, partner, and team experiences by adhering to appearance and presentation standards onsite.
Qualifications and Skills
- 2 to 4 years of relevant administrative experience.
- Bachelor’s degree or equivalent education and experience.
- Superior organizational and time management skills with ability to multitask across two senior executives.
- Strong written and verbal communication with attention to detail.
- Proficiency in Microsoft 365 suite; familiarity with Oracle, ServiceNow, and project management tools like Wrike is advantageous.
- Interest and foundational understanding of IT, cybersecurity, and enterprise AI applications.
- Willingness to learn or knowledge of ITIL frameworks, IT service management, and security principles such as CIS Controls; ITIL Foundation certification is a plus.
- Progress towards PMP certification and basic knowledge of process engineering (process mapping, workflow design, continuous improvement).
- Professionalism in interactions with executives, board members, and external partners while managing confidential information discreetly.
- Ability to adapt and work effectively in a complex matrixed environment both independently and collaboratively.
Additional Information
- Flexible work schedule required, inclusive of days, nights, weekends, and holidays.
- Domestic and international travel up to 5% of time.
Compensation and Benefits
Salary range is $75,000 to $110,000 USD per year.
