Role purpose
This position is responsible for providing strong administrative, mobilization, logistics, and coordination support to project teams. The role also contributes to safe, timely, and efficient project execution by keeping administrative processes, vendor coordination, records, and reporting under control.
Key responsibilities
- Support general office administration and facility-related coordination.
- Assist with personnel administration and mobilization activities.
- Arrange travel, hotel stays, site accommodation, and transportation as needed.
- Coordinate movement of staff between headquarters, site locations, and home country.
- Oversee vehicle allocation, driver scheduling, and transport planning.
- Handle urgent travel and mobilization requirements when required.
- Help keep logistics spending within approved budgets.
- Maintain administrative records, correspondence registers, and filing structures.
- Assist document control teams with transmittals, courier arrangements, and archiving.
- Manage incoming and outgoing letters, parcels, and official communication.
- Protect confidentiality and ensure sensitive files are access-controlled.
- Track attendance, timesheets, and leave information for PMC personnel.
- Coordinate with project controls and HR for timesheet checks and payroll inputs.
- Monitor annual leave balances and support leave planning.
- Issue reminders for contract expiry dates and leave encashment requirements.
- Coordinate admin vendors such as transport, catering, cleaning, and accommodation providers.
- Support procurement activities including quotation collection, LPO follow-up, and service contract coordination.
- Monitor supplier performance and compliance with service levels.
- Process administration-related invoices for finance review and verification.
- Track costs for administration and logistics budgets.
- Check invoices, receipts, and supporting documents before forwarding to finance.
- Maintain petty cash records where applicable.
- Serve as the administrative contact point for the client and contractors.
- Assist with logistics for client meetings, audits, and site visits.
- Ensure administrative practices align with client procedures and site regulations.
- Support compliance with company, client, and regulatory standards.
- Assist with internal and external audits, including HR, HSE, ISO, and client reviews.
- Keep administrative procedures and tracking tools current.
- Prepare periodic administrative status updates for PMC management.
Qualification and experience
A bachelor’s degree in any field from an accredited university is required. Candidates should have relevant experience working as an administrator or in a similar role within oil and gas or petrochemical projects, including exposure to the GCC region.
