Job description
Role Summary
This position involves guaranteeing the prompt and precise handling of supplier invoices, payments, reconciliations, and the upkeep of accounts payable records, consistent with company policies and accounting standards.
Primary Duties
- Review and accurately process supplier invoices punctually.
- Match invoices against Purchase Orders, Goods Received Notes, and any supporting documentation.
- Obtain necessary authorizations before posting invoices.
- Maintain vendor master data and related records.
- Address supplier questions about payments and account balances.
- Reconcile vendor statements and resolve any inconsistencies.
- Prepare payment plans for management approval.
- Execute payments via bank transfers, cheques, or other approved channels.
- Ensure payments comply with agreed credit terms.
- Conduct monthly accounts payable reconciliations.
- Compile aging reports and reports on outstanding liabilities.
- Contribute to month-end and year-end closing procedures.
- Adhere to company policies, accounting protocols, and tax rules.
- Maintain organized filing of invoices and payment documents.
- Assist internal and external audits by furnishing necessary documentation.
- Help with accruals and provisions for supplier-related expenses.
- Collaborate with procurement, operations, and other departments to address invoice matters.
- Assist the finance team in various accounting and reporting responsibilities.
Qualifications
- Bachelor's degree in Accounting, Finance, or a relevant discipline.
- Over 5 years of experience in Accounts Payable or General Accounting roles.
- Familiarity with ERP systems.
- Proficiency in Microsoft Excel.
