Role overview

Meraki Group is hiring a Secretary to provide direct support to the Chairperson. The role requires someone who can keep schedules organized, manage communication, and coordinate across internal teams and outside stakeholders while handling information with complete confidentiality.

Executive support

  • Maintain the Chairperson’s calendar, arrange meetings, and coordinate appointments.
  • Prepare agendas, briefing notes, and presentation materials for meetings.
  • Manage emails, correspondence, and phone calls on the Chairperson’s behalf.
  • Monitor action items, decisions, and ongoing projects to ensure timely follow-up.

Communication and coordination

  • Serve as the main point of contact between the Chairperson and internal or external stakeholders.
  • Draft, edit, and proofread letters, reports, and formal documents.
  • Work with senior leaders and department heads to keep information moving smoothly.

Travel and logistics

  • Organize domestic and international travel plans end to end.
  • Handle travel documents, accommodation arrangements, and related logistics.

Office and project support

  • Maintain office systems, databases, and confidential records for the Chairperson.
  • Support project tracking, deadlines, and deliverable follow-up.
  • Carry out research, reporting, and special tasks as assigned.

Procurement and events

  • Arrange procurement of gifts and hospitality items for vendors, clients, and visitors to the Chairperson’s office.
  • Coordinate office or site events, celebrations, and property launch events.

Professional standards

  • Protect sensitive information and handle it with strict discretion.
  • Represent the Chairperson’s office with tact, professionalism, and integrity.

Skills and competencies

The role calls for excellent organization, the ability to manage multiple priorities, strong written and spoken communication, stakeholder handling, and confidence working under pressure. Proficiency in MS Office tools such as Word, Excel, PowerPoint, and Outlook is essential. High discretion, sound judgment, and emotional intelligence are important for success in this position.

Requirements

  • 2 to 5 years of experience as an Executive Secretary, ideally supporting a Chairperson, CEO, Managing Director, or another senior executive.
  • Demonstrated experience handling complex calendars, international travel, and high-level correspondence.
  • Strong command of both English and Hindi.
  • Previous UAE experience is mandatory.
  • Female candidates are preferred.
