Position Summary
KBH is seeking a full-time Scheduling Coordinator who will typically work from 8am to 5pm ET, with occasional flexibility to cover a 6am to 3pm ET shift when needed. This role involves managing scheduling adjustments for clients and clinicians to maximize clinician availability. The Scheduling Coordinator ensures billable and non-billable codes are used accurately, monitors cancellation trends by clinicians and families, and proactively reschedules to align with the recommended treatment hours. The ideal candidate will be highly detail-oriented with strong communication skills to handle time-sensitive rescheduling across multiple locations, maintaining seamless client care.
Key Responsibilities
- Accurately enter scheduling changes for clients and staff to uphold data accuracy.
- Coordinate staffing substitutions to cover absences and ensure timely clinician replacements.
- Assist with same-day call-out coverage to prevent service disruptions; on such occasions, shift hours to 6am-3pm ET.
- Manage data via CentralReach practice management software across all clinical sites.
- Track clinician availability and service schedules diligently.
- Update calendars for employees on leave or terminated as needed.
- Support payroll by ensuring timely CentralReach data conversions and conducting timesheet audits.
- Audit code usage and paid time off records to ensure correct payroll and service utilization.
- Communicate clearly and kindly with all stakeholders to provide excellent service experiences.
- Implement and improve scheduling and time-off processes in collaboration with team members.
Essential Skills and Qualifications
- Strong interpersonal skills to establish and maintain positive relationships with clients, clinicians, and other parties.
- Excellent listening and clear communication abilities, both written and verbal, for conveying simple and complex information.
- Highly organized with a structured and detail-focused approach, solving problems proactively.
- Emotional intelligence to manage sensitive conversations urgently and effectively.
- Self-motivated multi-tasker capable of managing various projects simultaneously.
- Ability to work autonomously in a fast-paced environment with a problem-solving mindset.
- Maintain strict client confidentiality per HIPAA regulations.
- Proficiency using CentralReach software and Microsoft Office suite (Word, Excel, Outlook, Teams).
- Preferred candidates hold a Bachelor’s degree and have experience with healthcare clients and providers.
- Knowledge of ABA services, autism care, and CentralReach platform is highly advantageous.
- Must reside within the East Coast time zone.
