Role overview
This position supports the DQ Sales team by handling office administration, carrying out sales analysis, and keeping departmental processes running smoothly. It also includes support for contract administration and the day-to-day coordination of Tour Operator accounts. In addition, the role assists the sales function by preparing quotations, bookings, and related documents generated through client interactions and sales calls.
Key responsibilities
- Track and handle incoming requests within the team’s service-level expectations, and process bookings for enquiries that convert.
- Set up initial DQ Internet Booking Engine account profiles and manage profile changes, including setup and contracting updates.
- Prepare Tour Operator contracts in the CMS and monitor them through the approval process.
- Manage client correspondence promptly and effectively across FIT, Group, MICE, and Sales Lead cases.
- Work with internal teams to align on customer and sales needs related to products and services such as accommodation, transfers, and tours.
- Compile sales leads using market research on tour operators and competitors, and share pricing, promotion, and market intelligence with management.
- Coordinate with Marketing and E-Commerce teams to share advisories and notifications with trade partners, including campaigns, promotions, destination events, marketing initiatives, and sales updates.
- Keep the sales team supplied with current sales kits, pricing information, B2B platform updates, and operational notices.
- Circulate sales updates to the relevant internal stakeholders.
- Prepare weekly and monthly sales and revenue reports for the Sales Manager.
- Identify, investigate, and escalate potential issues or concerns.
- Maintain accurate customer records across all databases.
- Support clients with amendments, cancellations, reissues, and refunds.
- May be required to carry out work outside the office, including sales calls, blitzes, and promotional activities.
- Complete any other duties connected to the role as assigned by the Head of Department.
Requirements
- Minimum of 3 years of relevant experience in Travel and Leisure, Airlines, or Tour Operator environments.
- High School Qualification, Vocational Qualification, Diploma, or equivalent; alternatively, a Bachelor’s Degree or equivalent is acceptable.
- Strong customer orientation and commercial awareness, with experience dealing with stakeholders at different levels.
- Good quantitative and qualitative analytical ability.
- Strong command of the English language.
- Proficiency in Microsoft Word, Excel, and PowerPoint.
- Ability to complete administrative work accurately and precisely while managing priorities and time effectively in a busy department.
- Preferred: capability to prioritise, organise, and coordinate projects, and to present and resolve key business issues across corporate functional areas.
