Role overview
This full-time Sales Coordinator role is based in Dubai, UAE, and supports the Government Projects function within an automobile manufacturing business. The position is focused on coordinating tenders, managing client communication, and following through on orders related to vehicles, components, and fleet solutions supplied to government bodies, defense organizations, municipalities, and other public sector entities across the UAE.
The role works across sales, technical, legal, production, finance, logistics, and aftersales teams to help ensure that every government contract is compliant, well documented, and delivered on schedule.

Responsibilities
- Track government portals and e-procurement systems for new tenders, RFQs, and RFPs related to fleet and automotive requirements.
- Help prepare tender submissions, including technical compliance documents, commercial offers, certifications, and bank guarantees.
- Work with engineering, production, and finance teams to build complete proposals within the required timelines.
- Make sure every submission follows the applicable regulatory, localization, and ministry-level requirements.
- Serve as the coordination point for government clients, ministries, and public sector fleet departments.
- Support senior team members during client meetings, technical presentations, and vehicle demonstrations for government stakeholders.
- Respond to queries, clarification requests, and documentation needs raised by procurement officers.
- Draft quotations, proforma invoices, and contract drafts in line with government terms and conditions.
- Monitor the complete order cycle from award to delivery, including production updates, inspections, registration, and handover.
- Maintain organized records of contracts, amendments, delivery notes, invoices, and payment follow-ups.
- Ensure continued compliance with warranty terms, service agreements, and ICV/localization obligations.
- Follow competitor participation and pricing trends in government automotive tenders.
- Stay current on UAE government procurement rules and vendor registration requirements.
- Share weekly updates on pipeline status, bid progress, and revenue forecasts for the government business vertical.
- Coordinate with production, quality, logistics, and aftersales teams to maintain contract compliance.
- Work with finance on EMD, PBG, and milestone invoicing requirements.
- Represent the company in pre-bid meetings and relevant industry forums when needed.
Requirements
- 1–2 years of experience in sales coordination, tender management, or handling government clients.
- Experience in automotive or manufacturing environments is an added advantage.
- Fluency in Arabic and English is essential for formal correspondence, bid preparation, and communication with ministries.
- Working knowledge of UAE government procurement processes and related documentation.
- Strong planning ability, careful attention to detail, and the ability to work under deadlines.
- Comfortable using MS Office, especially Excel and Word; ERP or CRM exposure is preferred.
- High level of integrity and the ability to handle confidential pricing and tender information discreetly.
- Preference for Arab candidates due to government liaison needs.
- A valid UAE driving license is preferred for client visits and document submissions.
- Candidates should have their own visa or visit visa with transfer eligibility.
- Familiarity with automotive specifications and vendor registration on portals such as DGS, ADQ, and MOF is desirable.
