Company Overview

The client works on winning contracts from US state and federal government agencies. This position is focused on strengthening the contracting function by managing bid execution, ensuring compliance, and steadily improving the quality and speed of submissions.

Role Summary

As an RFP / Government Contracting Specialist, you will own government proposal submissions from the moment an opportunity is received until the final delivery is sent. This is a hands-on role that goes beyond simply filling templates—you will manage timelines, formatting rules, and compliance needs, coordinate with internal teams, and prepare proposals that directly address government scoring criteria.

You will work closely with cross-functional stakeholders to collect accurate information, shape clear responses, and improve the overall proposal workflow so future submissions become faster and more consistent.

Key Responsibilities

  • Track new government contracting opportunities by monitoring procurement portals and bid sources.
  • Manage proposal submissions end to end, from intake and drafting to reviews and final submission.
  • Take ownership of deadlines, submission formats, and compliance obligations to prevent misses.
  • Follow up with internal stakeholders to collect inputs, resolve blockers, and secure approvals.
  • Maintain version control and produce clean, compliant final proposal documents.
  • Operate within government communication rules, where interaction is mainly through written questions and formal submissions rather than direct outreach to government contacts.
  • Break down large RFP packages, often containing extensive documentation, and turn them into a structured response plan.
  • Write responses that are accurate, requirements-aligned, and tailored to evaluation criteria.
  • Edit content for clarity, structure, and compliance while avoiding unnecessary risk or overstatement.
  • Create and update reusable proposal assets such as standard answers, past-performance language, and compliance checklists.
  • Document lessons learned to improve what works, identify recurring patterns, and reduce workflow bottlenecks.
  • Support the contracting strategy by helping track important inputs such as renewal timelines and available prior-contract context.

Requirements

  • Direct, hands-on experience preparing bids for US state and/or federal government contracts is mandatory.
  • Experience using government procurement portals and bid submission systems.
  • Background in government contracting workflows, including proposal compliance and, where relevant, support for contract negotiation.
  • Strong writing, editing, and analytical skills with the ability to turn complex inputs into concise, compliant responses.
  • Excellent organizational habits, with strong attention to detail and disciplined version management.
  • Comfort working across teams and following up persistently without slowing the process down.
  • Ability to deliver reliably under time-sensitive deadlines.
  • Strong command of English communication.
  • Additional advantage: experience across both state and federal contracting, or with multiple procurement portals.
