Overview

In this remote role, you will keep digital and scanned records accurate, orderly, easy to search, and aligned with internal compliance standards. The position supports several departments by handling document intake, checking for completeness, applying standard naming rules, and maintaining organized filing systems.

You will help build a clear, audit-ready trail showing what was received, when it was processed, and where it is stored. The work is carried out in a fast-moving environment where speed matters, but precision, consistency, and confidentiality are essential. Your contribution will directly improve operational efficiency, compliance, and dependable access to information across the business.

Key Responsibilities

  • Collect and process documents arriving through shared inboxes, portals, ticketing tools, and cloud storage systems.
  • Check document types, mandatory fields, signatures, and any supporting attachments for completeness.
  • Attach standardized metadata such as client or project ID, date, document category, version, and region.
  • Index records correctly so they can be found quickly when needed.
  • Maintain uniform naming conventions and folder structures across all records.
  • Prepare and convert files as required, including PDF merging or splitting, image-to-PDF conversion, compression, and version control.
  • Keep document libraries structured by separating draft, final, and archived files.
  • Use retention tags and archival labels according to internal policy.
  • Perform routine checks to identify duplicates, misplaced records, missing pages, or unreadable files.
  • Report discrepancies to the right stakeholders with clear supporting notes.
  • Maintain error logs and suggest process improvements that reduce rework.
  • Ensure records remain accurate and consistent across the system.
  • Manage sensitive and confidential information in line with access-control rules.
  • Follow retention timelines, legal hold requirements, and deletion or archiving procedures.
  • Support audits by locating records efficiently and documenting chain-of-custody steps.
  • Ensure compliance with internal and regulatory record-keeping requirements.
  • Coordinate with HR, Finance, Operations, Legal, and Customer Support to clarify document needs.
  • Share updates on processing status, backlog volume, and turnaround times.
  • Communicate clearly whenever issues, delays, or mismatches occur.
  • Help cross-functional teams by keeping records accessible and well organized.

  • Fast turnaround from document receipt to filing.

  • Adherence to access-control and retention rules.

Qualifications

  • Background in records management, administrative support, document control, or clerical work is preferred.
  • Strong attention to detail and the ability to consistently follow filing and naming standards.
  • Comfort handling confidential information and working within strict procedures.
  • Basic computer skills, including file management, spreadsheets, PDFs, and collaboration tools.
  • Ability to work independently in a remote setup while maintaining accuracy and consistency.
