Job Overview
The Release of Information (ROI) Specialist I position within the VitalChart division of VRC Companies, LLC is tasked with efficiently handling medical record requests while ensuring precise accuracy and excellent client service. The role demands strict adherence to patient privacy regulations, limiting data access only to authorized parties in compliance with VRC policies and federal/state laws such as HIPAA.
Key Duties
- Primarily manage ROI requests related to Continuing Care and Disability Determination Services, with additional request types assigned based on experience.
- Process requests by accessing the necessary medical records securely following client-specific protocols.
- Complete daily ROI requests prioritizing them to meet specified turnaround times and contractual obligations.
- Verify requests and patient authorizations for legal compliance including HIPAA.
- Correctly categorize the type of release request received.
- Maintain accurate logging of requests in ROI software.
- Retrieve and upload patient chart sections from electronic or physical sources.
- Conduct quality control checks to ensure accuracy and prevent unauthorized information disclosure.
- Ensure invoicing accuracy and adjust bills as appropriate.
- Transmit medical records only to valid requesting entities.
- Reject any invalid or non-compliant requests.
- Return physical records to their designated storage locations following established procedures.
- Document all exceptions, communications, and relevant notes in the ROI system.
- Notify supervisors of suspicious requests, potential HIPAA breaches, or delays promptly.
- Respond professionally and efficiently to any requester inquiries.
- Maintain secure storage of all records and related files throughout the work period.
- Ensure availability of office supplies necessary for uninterrupted task completion.
- Adapt to varying healthcare facility assignments and request types, supporting teams during peak workloads.
- Comply fully with all VRC and healthcare client policies, HIPAA rules, and other regulatory standards.
- Handle confidential information with integrity, focusing on accuracy and efficiency in record releases.
- Alert management to any IT or security issues affecting workflow.
- Complete all required trainings within designated deadlines.
- Create client invoices and billing materials while maintaining current client data.
- Perform additional related duties as assigned.
Qualifications and Skills
- High school diploma or equivalent required; higher education preferred.
- Experience in ROI processing preferred.
- Strong attention to detail with proven organizational skills and ability to meet deadlines.
- Good documentation and communication capabilities.
- Ability to maintain consistent quality and productivity levels.
- Basic knowledge of medical records and HIPAA regulations is advantageous.
- Familiarity with EHR/EMR platforms is preferred.
- Proficient with Windows OS and Microsoft Office suite.
- Interpersonal skills for effective communication with team members, clients, and requesters.
- Experience operating office equipment including printers, scanners, fax machines, and microfilm devices is a plus.
- Self-motivated, detail-oriented, and capable of prolonged task concentration.
- English proficiency required; bilingual abilities are considered beneficial.
Salary
Compensation ranges between $21.00 and $25.00 per hour.
