Role Purpose
This position serves as the first point of contact for patients at Truly Tullamore. The role focuses on creating a welcoming experience, managing the flow of appointments, handling calls and inbox enquiries, and supporting the clinical team so they can deliver high-quality care.
Key Responsibilities
- Greet patients courteously, manage check-in and check-out, and provide clear, supportive information throughout their visit.
- Handle a multi-line telephone system and a busy inbox, balancing in-person requests with remote enquiries.
- Arrange, move, and confirm appointments while coordinating closely with clinical staff to keep diaries running efficiently.
- Prepare charts and patient paperwork for the dental team, and keep records accurate and up to date.
- Create billing statements, process payments, reconcile daily cash totals, and manage deposits or clerical handovers when needed.
- Use clinic software with training provided; the network works with the EXACT practice management system, and data protection procedures must be followed.
- Cover changeover periods and occasional weekend shifts as required, helping maintain service during the full opening schedule.
- Work in line with Truly’s hospitality standards and contribute to a positive, team-oriented atmosphere.
Education and Experience
Secondary education is required, and a vocational or administrative qualification is considered an advantage. Candidates should have 1-2 years of experience in a front-desk or reception position, ideally within dental or hospital settings, and should be comfortable in busy, customer-facing environments.
Skills and Knowledge
The ideal candidate will be confident with multi-line phone handling, appointment coordination, billing tasks, and cash reconciliation. Comfort with practice management systems is important, and exact system experience would be beneficial. Strong organisation, multitasking ability, attention to detail, excellent spoken and written English, discretion, and awareness of GDPR/data protection are all essential. The role also requires the ability to communicate empathetically with patients from varied backgrounds and to collaborate effectively with clinicians and senior specialists.
