Role overview

The organization is looking for a polished, well-organized, and service-oriented Receptionist cum Admin Executive to handle front-desk operations and deliver day-to-day administrative assistance. This role is central to keeping office activities running smoothly and requires strong communication skills, a warm professional manner, and the ability to stay on top of multiple tasks.

Front desk and reception

  • Receive visitors, clients, and staff courteously and professionally.
  • Answer incoming phone calls, emails, and other correspondence, then route them to the right team or person.
  • Keep the reception space neat, tidy, and ready to make a good impression.
  • Arrange meeting room reservations and make sure rooms are set up before use.

Administrative support

  • Organize office files, records, and documentation so they remain easy to access and well maintained.
  • Prepare routine documents such as reports, letters, presentations, and related office material.
  • Track office supply levels and coordinate purchases when needed.
  • Help with onboarding paperwork and other joining-related administrative steps.
  • Update internal databases and contact information as required.

Facilities and office coordination

  • Work with vendors, service providers, and building management for upkeep, maintenance, and repair needs.
  • Monitor pantry items, stationery, and other office consumables to ensure adequate availability.
  • Support the planning of company events, meetings, training programs, and employee engagement activities.
  • Help maintain the office in a clean, safe, and professional condition.

HR and operations assistance

  • Support attendance monitoring and leave record management.
  • Assist HR with employee documentation and filing work.
  • Help with expense claim processing and invoice tracking.
  • Provide general administrative assistance to management and different departments as needed.

Requirements

  • A bachelor’s degree or diploma in Business Administration or a related discipline.
  • Between 2 and 4 years of experience in reception, administrative support, or office coordination.
  • Previous experience with UAE-based employers is preferred.
  • Strong working knowledge of Microsoft Office tools, including Word, Excel, PowerPoint, and Outlook.
  • Clear and effective spoken and written English communication.
  • Strong planning, organization, and multitasking skills.
  • A professional look and a customer-first approach.
  • Preferred language ability includes English and Hindi, with Hindi being mandatory; additional spoken languages are an advantage.

Additional information

This is an onsite role based in Dubai, UAE.
