Overview

We are seeking a warm, well-organized, and client-oriented Clinic Receptionist to serve as the initial contact point for our veterinary clinic. This role focuses on delivering excellent customer relations, handling appointments, supporting office duties, and ensuring a positive environment for pet owners and their animals.

Key Responsibilities

  • Greet clients and their pets with professionalism and friendliness upon arrival.
  • Respond promptly to calls, emails, WhatsApp messages, and inquiries via social media platforms.
  • Efficiently manage appointment scheduling, confirmations, and record keeping.
  • Register new patients and maintain comprehensive and accurate client and pet files.
  • Address questions about services, pricing, and scheduling clearly and efficiently.
  • Handle invoicing processes and receive payments accurately.
  • Maintain organized filing systems and necessary documentation.
  • Prepare daily schedules for appointments and coordinate smoothly with clinic staff including veterinarians, nurses, groomers, and drivers.
  • Ensure confidentiality of client and medical information.
  • Keep the reception area welcoming, clean, and structured at all times.
  • Conduct client follow-ups about appointments, vaccinations, and treatments.
  • Manage client concerns professionally, escalating as needed.
  • Promote veterinary services, wellness packages, grooming, and preventive care programs.
  • Monitor and report inventory levels for reception and office supplies.
  • Assist with pet admissions and discharges handling.
  • Support marketing efforts by informing clients about current promotions and campaigns.

Qualifications and Skills

  • Possess between 2 to 4 years of experience in roles like Receptionist, Front Desk Executive, or Customer Service Representative.
  • Prior exposure to veterinary clinics, medical centers, dental clinics, or health care settings is preferred.
  • Strong skills in customer service and communication.
  • Excellent organizational abilities and capacity to handle multiple tasks simultaneously.
  • Ability to stay calm during emergencies or under pressure.
  • Professional telephone manner and etiquette.
  • Basic computer literacy with familiarity in Microsoft Office.
  • Experience with appointment scheduling or clinic management software is beneficial.
