Role Overview
The Purchase Executive plays a crucial function in sourcing, negotiating, and procuring automotive spare parts, tyres, batteries, lubricants, workshop consumables, and maintenance-related services necessary for the smooth operation of workshops within the Car Rental Group. The role emphasizes ensuring parts and services are available on time while balancing cost-effectiveness, quality standards, and supplier efficiency.
Key Responsibilities
- Procure automotive components including spare parts, tyres, batteries, lubricants, and consumables.
- Evaluate and compare supplier quotations to guarantee competitive pricing and optimal value for money.
- Explore alternative suppliers and products aiming to enhance cost savings and ensure uninterrupted supply.
- Conduct negotiations concerning pricing, delivery timelines, payment conditions, and commercial terms with suppliers.
- Generate purchase orders and oversee their fulfillment through to successful delivery.
- Collaborate with workshops and fleet maintenance teams to fully understand spare parts needs.
- Confirm part numbers, specifications, compatibility, and technical requirements before procurement.
- Maintain records of frequently used parts and maintain an updated list of reliable suppliers.
- Build and nurture strong relationships with OEMs, authorized dealers, and aftermarket suppliers.
- Continuously monitor supplier performance based on price, quality, delivery punctuality, and service metrics.
- Handle supply-related issues, warranty claims, and resolve discrepancies with vendors promptly.
- Ensure all procurement activities adhere to company policies and authorization procedures.
- Analyze purchasing trends to identify opportunities for cost reduction.
- Assist in contract negotiations and in establishing annual rate agreements with key suppliers.
- Keep accurate and up-to-date procurement documentation and reports.
Required Qualifications and Skills
- Bachelor's degree or diploma in Business, Supply Chain Management, Mechanical Engineering, Automotive Engineering, or relevant fields.
- Professional certifications in procurement are advantageous.
- 3 to 5 years of hands-on experience in automotive spare parts procurement.
- Familiarity with sectors such as car rental, fleet management, automotive dealerships, workshops, or transportation is preferred.
- In-depth knowledge of automotive spare parts sourcing and supplier landscape within the UAE.
- Strong capabilities in negotiation and supplier relationship management.
- Good grasp of automotive components, part numbering, and maintenance necessities.
- Ability to interpret and understand technical specifications accurately.
- Excellent communication and coordination skills with an aptitude to work efficiently under pressure and handle urgent operational demands.
