Job description

Position Summary

The Public Relations and Marketing Coordinator supports both the PR function and the broader marketing team by handling daily department operations along with administrative support for the Chief Marketing Officer. Reporting closely to the Vice President of Public Relations, the role helps coordinate press activity, manage digital assets, and assist with reporting. It also covers calendar coordination, travel arrangements, and event logistics. This position is best suited for someone who is highly organized, writes clearly and confidently, and can stay effective in a fast-moving, deadline-sensitive setting.

Public Relations and Media

  • Prepare and send a daily internal roundup of news relevant to the team and PR partners.
  • Review Nashville media coverage and sort it using the Cision monitoring system.
  • Gather current media clippings for internal and external presentations.
  • Oversee the press photo library and handle b-roll requests from media contacts.
  • Assemble and maintain media gift bags and keep PR inventory organized.
  • Track accolades and help update related content on the NCVC website.

Press Tour and Itinerary Coordination

  • Build detailed schedules for individual and group press tours using Travify.
  • Coordinate communications and logistics for media visits and hosted press events.

Reporting and Analytics

  • Support preparation of reports for internal, domestic, and international partners.
  • Collect marketing data and project updates from department leaders for consolidated reporting.
  • Help maintain Nashville Visitors Guide event listings and other digital or print content updates.

Marketing Department Support

  • Respond to general inquiries about the marketing department and direct staff or clients to the right team or resource.

Administrative Support for the CMO and Marketing Team

  • Maintain the CMO’s calendar, including meeting scheduling and coordination of internal and external appointments.
  • Prepare and file expense reports for the CMO and Vice President of Public Relations.
  • Create presentation materials, agendas, and meeting notes.
  • Arrange travel for the CMO and team members as needed.
  • Set up conference rooms, organize materials, make copies, and provide general office assistance.
  • Handle billing coordination and other administrative assignments for the department.

Seasonal and Event Support

  • Support administrative tasks for the Metro Nashville Major Event Fund Committee during April through June.
  • Provide on-site assistance for NCVC events such as July 4th, New Year’s Eve, and the Music City Walk of Fame Inductee Ceremony.

Qualifications

A bachelor’s degree in Communications, Public Relations, Marketing, Journalism, or a related discipline is preferred. The ideal candidate has 1 to 3 years of experience in public relations, marketing coordination, or a similar position. Experience in travel, tourism, or hospitality is considered an advantage.

Skills and Competencies

The role calls for excellent written and verbal communication, strong attention to detail, and the ability to produce polished content for different audiences and formats. Candidates should be comfortable using Microsoft Office tools such as Outlook, Word, Excel, and PowerPoint. They should also be able to juggle several priorities at once in a deadline-driven environment, think ahead, maintain discretion with confidential information, and work collaboratively with a proactive, solutions-oriented mindset.

Additional Details

This is a full-time, non-exempt position based primarily in an office setting, with occasional evening and weekend work required for event support tied to July 4th, New Year’s Eve, and the Music City Walk of Fame. The workload is expected to increase seasonally from April through June to support the Metro Nashville Major Event Fund Committee.
