About the Role
Al Maha Properties LLC is a Dubai-headquartered real estate firm with more than 28 years of experience spanning property management, leasing, and brokerage. The company oversees a varied portfolio of residential, commercial, and industrial assets across Dubai and is looking for a well-organized, forward-thinking Property Management Administrator to help keep day-to-day operations running smoothly.
Key Responsibilities
- Oversee reception and front-desk duties, acting as the initial contact for visitors, tenants, landlords, and clients.
- Answer phone calls, respond to emails, and manage enquiries in a timely and professional manner.
- Publish and update property listings across Bayut, Dubizzle, the company website, and other marketing channels.
- Allocate incoming sales leads to the right agents and keep lead-tracking records accurate and up to date.
- Monitor shared email inboxes for leasing and general enquiries and ensure follow-up action is taken.
- Support the sales and leasing teams with administrative coordination and related tasks.
- Maintain current records for property inventory, availability calendars, and associated documentation.
- Coordinate with tenants on rent payments, renewals, paperwork, maintenance requests, and follow-up communication.
- Draft NOCs, undertaking letters, warning notices, legal notices, tenancy letters, and other property management paperwork.
- Support RDC case handling by preparing filings, tracking progress, monitoring hearings, and attending RDC sessions when needed.
- Liaise with government and regulatory bodies such as DLD, RDC, DEWA, Dubai Municipality, Civil Defence, and other relevant authorities.
- Keep company files, agreements, permits, certificates, and compliance documents organized and current.
- Track expiry dates and renewal timelines for broker cards, RERA certificates, staff records, insurance policies, Ejari registrations, and company licences.
- Assist with email account setup, office administration, and other operational support activities.
- Maintain both digital and paper filing systems so information can be stored correctly and retrieved easily.
Requirements
- At least 2 years of experience in UAE real estate, property management, or administrative work.
- Hands-on familiarity with Bayut, Dubizzle, and property listing workflows.
- Good understanding of Dubai real estate documentation and routine procedures.
- Prior exposure to tenant and landlord coordination, along with property-related administration.
- Knowledge of RDC processes and Dubai real estate regulations will be considered an advantage.
- Strong command of Microsoft Office tools, especially Excel, Word, and Outlook.
- Excellent planning, prioritization, and time-management abilities.
- Strong spoken and written English communication skills.
- Comfortable juggling several tasks and deadlines while maintaining accuracy.
- Professional, proactive, and service-focused working style.
Preferred Qualifications
- Experience working with a real estate or property management company in the UAE.
- Valid UAE driving licence.
- Working knowledge of Property Finder, Trakheesi, Ejari, DLD, and RDC systems.
