Role overview

This position sits within the Capital Programme Team and provides broad administrative and coordination support across the team’s work. The role contributes to reporting, office administration, and maintaining high professional standards throughout the team.

The successful candidate will support the planning and delivery of programmes and projects, take ownership of specific work packages aligned to Capital Programme priorities, and help ensure both internal and external requirements are met. The role also has a central part in monitoring and tracking the portfolio of programmes and projects across the directorate.

Key duties

The post holder will act as the first point of contact for the Capital Programme Team, handling enquiries proactively, using sound judgement, and suggesting practical solutions for more complex matters.

They will manage incoming correspondence and electronic communications, responding appropriately on the team’s behalf, including matters that are restricted, sensitive, confidential, or potentially contentious and related to the Trust’s Quality, Efficiency and Performance Improvement agenda.

The role involves preparing reports, documents, and presentations to an advanced standard using tools such as Word, Excel, MS Project, and PowerPoint, along with the ability to query and extract information from databases as needed.

Responsibilities also include diary coordination, appointment scheduling, and arranging regular and ad hoc meetings with internal and external stakeholders, while balancing priorities and commitments.

The post holder must organise their workload effectively, manage complex tasks efficiently, adapt where required, and work independently to ensure the smooth operation of the Capital Programme Team.
