About the role
Kongsberg Maritime is a technology-driven company focused on enabling safer, smarter, and more sustainable ocean operations. In this Project & Office Administrator role, you will be the operational support hub for the Hamburg office. The position brings together project administration, office coordination, logistics support, and business operations, helping ensure accurate processes and dependable day-to-day execution.
You will work at the center of the office environment, supporting commercial precision and practical coordination so that projects run smoothly and internal teams can stay focused on delivery.
Key responsibilities
- Keep ERP project setups accurate in Microsoft Dynamics AX so costs are assigned correctly.
- Collect, check, and prepare project data for monthly closing activities.
- Track project milestones and issue invoices in line with contractual terms.
- Assist project managers with Excel-based tracking and data verification.
- Handle office administration tasks such as scheduling and document management.
- Coordinate with Finance on invoice questions and general administrative clarifications.
- Oversee office consumables, agreements, subscriptions, and insurance-related topics.
- Carry out customs processes for both imports and exports.
- Process operational orders from quotation stage through to delivery notes.
- Manage product returns, repairs, and warranty-related coordination with suppliers.
- Support logistics activities and spare parts coordination, including inventory-related assistance.
What you should bring
- A completed commercial qualification or an equivalent background.
- Relevant experience in project administration, operations, or business support.
- Strong Excel ability and confidence working with structured data.
- Experience using ERP systems, preferably Microsoft Dynamics AX.
- Good written and spoken English communication skills.
- A structured, dependable, practical working style with strong attention to detail.
Additional information
This role is open only to EU citizens, Schengen citizens, or candidates who already hold a permanent residence status together with a valid work permit, due to immigration regulations.
You may also be asked to assist other teams or take on additional tasks when business needs require it, as flexibility and collaboration are part of the working culture.
The position is based in Hamburg, Germany, at Sorthmannweg 21, 22529 Hamburg. The company uses an in-person working setup with flexibility for hybrid arrangements, flexible hours, and accurate time tracking.
The job is permanent and full-time, with day-time working days. The expected start is as soon as possible, and the application deadline is 20.06.2026.
