Role overview
IMAPAC is hiring a well-organized, proactive Project Manager to lead the full lifecycle delivery of conference, event, and exhibition projects. In this role, you will act as the main coordination hub across Sales, Conference Production, Marketing, Delegate Sales, Event Operations, Finance, and leadership teams to make sure each project is completed on schedule, within budget, and to the expected quality standard.
What you'll do
- Own project schedules, milestones, trackers, and action plans for assigned conferences.
- Work closely with Sales, Production, Marketing, Event Operations, Finance, and other internal teams to keep work moving.
- Make sure every department understands deadlines, deliverables, and ownership clearly.
- Track budgets and expenses, and raise any cost overruns or financial risks as early as possible.
- Spot delays, blockers, and project risks, then push for quick and practical resolutions.
- Run project status meetings, chase action items, and keep management updated regularly.
- Assist with pre-event preparation, live/on-site or remote event delivery, and post-event evaluation.
- Keep project records accurate and identify ways to improve processes and workflows.
Requirements
- At least 5 years of experience in project management, event management, conference management, operations, or a closely related field.
- Excellent organization, communication, and stakeholder management abilities.
- Hands-on experience managing timelines, budgets, deliverables, and several projects at once.
- Comfortable working with cross-functional teams in a fast-moving environment.
- Strong attention to detail, problem-solving ability, and a consistent follow-through mindset.
- Background in B2B conferences, events, exhibitions, media, or professional services is an advantage.
- Familiarity with project management tools such as Asana, Monday.com, ClickUp, Trello, or similar tools is helpful.
