Role Summary
This position is responsible for coordinating and managing Costco-specific programs, including item setup, roadshows, and pallet-related initiatives. The role acts as the central connector between Sales, Operations, Marketing, Supply Chain, and other partners to help deliver key retail programs successfully.
The Project Manager will create and maintain cross-functional timelines, keep teams accountable, and oversee execution across order management, logistics, demand planning, creative services, and product teams. Strong Costco channel knowledge is important because the work involves specialized packaging, pallet configuration, logistics, and compliance requirements that can have significant operational and financial impact if not handled correctly.
Key Responsibilities
Primary duties include managing Costco roadshow programs from planning through execution, coordinating new product launches and item setup, and keeping cross-functional teams aligned on deadlines, deliverables, and approvals. The role also requires active risk management, regular communication with stakeholders, and ongoing process improvement for the Costco business.
Roadshow Management
- Own the full coordination cycle for Costco roadshow programs, from early planning through final execution, while managing timelines and dependencies across teams.
- Plan packaging demand so inventory is ready before roadshow periods begin.
- Organize rework efforts by arranging vendors, tracking schedules, and monitoring quality.
- Handle inbound and outbound transportation for roadshow stock, including carrier coordination and tracking associated costs.
- Oversee post-roadshow returns to reduce waste and improve recovery value.
New Product Launches
- Lead the Costco item setup workflow, making sure all required information, supporting documents, and approvals are completed accurately and on schedule.
- Prepare and submit item specifications and visual renderings in line with Costco vendor requirements.
- Manage pallet setup requirements and renderings, working with Logistics and Operations to confirm compliance.
- Develop detailed launch schedules, spot risks early, and help resolve issues across functions.
- Coordinate Value-Added Services timelines and deliverables so internal teams and third-party partners stay aligned.
- Assist with new product development projects when needed.
Cross-Functional Coordination and Execution
- Serve as the main internal contact for Costco-related operational programs and work closely with the Costco sales team.
- Create and maintain project trackers, status dashboards, and milestone calendars for leadership and stakeholders.
- Run recurring cross-functional meetings to keep ownership clear and progress on track.
- Escalate risks early and recommend solutions before issues disrupt timelines or retail execution, including escalation to cross-functional leaders with urgency.
- Look for process improvements that increase efficiency, accuracy, and scalability within the Costco business.
Qualifications
The ideal candidate has experience in project management, sales operations, or supply chain work, with direct exposure to Costco as a retail partner. They should understand Costco’s vendor expectations, including packaging standards, pallet requirements, compliance rules, and warehouse logistics.
Strong candidates will be highly organized, detail-oriented, comfortable managing multiple workstreams and tight deadlines, and proactive in communication. They should also be skilled with project management platforms and Microsoft Office tools, and able to influence others and drive accountability without formal authority.
Reporting Structure
