Job description
Role overview
The Project Cost Controller is tasked with keeping job cost reporting accurate and current across all projects, examining budgets and risk exposure, making sure controls and workflows are followed, working with project and accounting teams on financial activities, and helping improve project accounting systems, processes, and policies.
Key responsibilities
- Maintain reliable and up-to-date job cost data for all projects, including both budgeted and actual figures.
- Review project budgets every week at the division and/or subcontract level, checking quantities, pricing, rates, schedules, and other assumptions to identify risks and suggest ways to reduce them.
- Prepare, analyze, and present weekly and monthly job cost reports, along with action plans and any other project monitoring updates needed.
- Compile monthly progress draws with revised project budgets, invoices, statutory declarations, change orders, WSIB documents, and insurance support for submission to the Quantity Surveyor during the final five days of each month.
- Partner with Project Management and Accounting Services to create, approve, and maintain vendor packages, purchase orders, contracts, vendor invoice entry, and payments in line with Construction Lien Act requirements, including monitoring and releasing holdbacks.
- Work with Project Management to enforce approval workflows and invoice-to-purchase-order/contract matching controls.
- Develop and refresh cash flow forecasts for upcoming project draws using updated schedules from Project Management to support cash planning needs.
- Attend project start-up and close-out meetings, bringing required documents and reports, sharing financial input, and supporting action plan execution.
- Continuously assess and improve project accounting systems and processes, and help design and implement stronger policies and procedures.
Requirements
- At least 3 to 5 years of experience in cost control or project accounting within the industry.
- A bachelor's degree in a relevant discipline.
- Solid understanding of budgeting, forecasting, and job cost reporting.
- Hands-on experience with accounting software and ERP platforms, plus advanced Excel ability.
- Strong analytical, problem-solving, and organizational skills with close attention to detail.
- Effective written and verbal communication skills, with the ability to work well with project managers, vendors, and accounting teams.
