Role Overview
We are looking for a seasoned Project Assistant to deliver top-tier executive administrative support to the Global Practice Manager and Leadership Team, in addition to aiding in project-related administrative tasks.
Key Duties
- Provide executive support by handling calendar management, arranging travel, processing expense claims, managing document signings, and facilitating communications with senior executives both internally and externally.
- Support project activities and clerical functions including collecting and analyzing data for reports and presentations, organizing project documentation, entering data, and maintaining engineering records.
- Manage communications by screening incoming calls and emails, preparing meeting agendas and minutes, and overseeing approval processes for invoices, contracts, and sensitive documents.
- Coordinate events and meetings by arranging conference room setups, working with IT on audiovisual logistics, organizing catering services, and managing contracts for large team events and venues.
- Monitor budgets by reviewing and approving routine expenditures to ensure they comply with departmental financial plans.
Qualifications and Requirements
- Education: Minimum of a High School Diploma or GED.
- Experience: At least 8 years in administrative or project support roles, or 4 years if holding a Bachelor's degree.
- Technical Skills: Strong command of Microsoft Office applications including Word, Excel, PowerPoint, and Access.
- Soft Skills: Excellent organizational abilities, meticulous attention to detail, effective problem-solving skills, and clear communication capable of engaging all levels of an organization.
- Work Eligibility: Candidates must possess permanent legal authorization to work in the country of employment without needing sponsorship.
