Role Overview
The Production Specialist will play a key role in organizing and supporting operational delivery for major merchandising initiatives and enterprise clients. This position entails managing purchase orders, maintaining production timelines, coordinating with suppliers for samples and compliance, supporting logistics, and communicating status updates internally and with clients. Collaboration with the Production & Operations Manager, internal departments, and external suppliers is essential to keep projects well-structured, accurate, and progressing.
Key Responsibilities
- Keep project trackers, account files, purchase orders, follow-up notes, and client process documentation meticulously organized.
- Compile information from suppliers and internal teams to facilitate client and internal updates; prepare meeting notes and identify missing data or next action items.
- Aid in converting purchase orders and transferring supplier details after managerial review of requirements, costs, and schedules.
- Monitor supplier and factory production status including estimated completion, sample progress, and critical milestones.
- Update essential production timelines covering sampling, approvals, production starts, quality controls, compliance, shipping readiness, and invoicing.
- Track outstanding supplier obligations and report any missing information, delays, or changes for managerial review.
- Assist in coordinating pre-production samples by tracking submissions, approvals, revisions, dispatches, and necessary follow-ups.
- Maintain sample documentation, production records, range boards, project folders, and client-specific process materials.
- Organize production photographs, sample feedback, approvals, and relevant documents for easy access and completeness.
Required Qualifications
- Between 1 and 3 years of experience in production, supply chain, operations, merchandising, account support, or equivalent entry-level roles or internships.
- Exceptional organizational abilities to manage multiple trackers, details, timelines, documents, and follow-ups simultaneously.
- Strong written and verbal communication skills, comfortable engaging with internal teams, suppliers, and partners.
- Meticulous attention to detail ensuring accuracy in purchase orders, quantities, dates, costs, and documentation.
- Proficiency in Microsoft Office applications, particularly Excel.
- Capacity to adapt quickly to new systems such as trackers, client portals, NetSuite, and project management tools.
- Problem-solving approach with the ability to identify risks, raise pertinent questions, and escalate problems as needed.
- Genuine interest in production, supply chain management, and client operations.

Additional Information
