About the Role
A well-established events and festivals production company based in London seeks a Production Coordinator to aid in delivering live events throughout the UK. This role combines both office-based and on-site activities, ideal for individuals with 1 to 2 years of experience in the events sector who aspire to advance in production management.
Key Responsibilities
- Assist Production Managers in planning and executing festivals, outdoor events, and experiential marketing activations.
- Gather and organize supplier quotations, safety certificates, training documentation, and insurance papers ahead of event dates.
- Conduct research on new event venues and spaces, build and maintain a venue database, and liaise with property owners regarding site availability.
- Support the development of creative pitch presentations and other client-facing materials.
- Manage project administration duties such as contact reports, scheduling, and diary management for the production team.
- Provide on-site coordination during live events, including handling accreditation, managing the site office, coordinating supplier arrivals, and delivering general production assistance.
- Update social media platforms with relevant project content and compose post-event case studies.
- Oversee the accreditation process before and during events, maintain records of site inventory and equipment usage.
- Assist with monitoring budgets, processing expense reconciliations, and performing routine financial administration tasks for projects.
Required Skills and Qualifications
- Experience in events, festivals, or live production environments, including internships or freelance engagements.
- Exceptional organizational capabilities to juggle multiple projects simultaneously.
- Effective written communication skills, capable of creating emails, reports, and case studies with minimal editing.
- Proficiency in Microsoft Office suite, especially Excel, Word, and PowerPoint.
- Willingness and ability to work on-site at events under varying conditions and flexible scheduling.
- A strong passion for the events and festival industry, with knowledge of current market trends.
- A proactive approach to work, demonstrating initiative and problem-solving aptitude without requiring constant supervision.
