Role overview

16K Agency is seeking a highly organised Production Coordinator to help plan, run, and administer content productions across a varied client portfolio. The agency is a London-based creative and social media business focused on Formula 1, motorsport content, and social-first campaigns for major sponsors, teams, drivers, and international sports brands.

The position suits someone who enjoys keeping projects on track, handling logistics, coordinating people, and making sure deliverables are completed efficiently. You will collaborate closely with producers, creatives, editors, social media managers, and clients from initial brief through to final delivery.

This role is based in Chiswick W4, London and follows a hybrid setup with a minimum of 3 days per week in the office. It is a full-time contract running until 20/12/2026, with a possibility of becoming permanent at the end. The start date is immediate, with availability expected between June and July 2026. Occasional travel and attendance at shoots or race weekends may be required.

Production coordination

  • Support producers and project leads in planning and delivering content shoots and campaigns.
  • Help organise schedules, call sheets, travel, accommodation, accreditation, and on-set logistics.
  • Work with internal teams and freelancers to keep productions moving efficiently.
  • Monitor timelines and help ensure deadlines are achieved.

Project administration

  • Keep production documents, schedules, contact lists, and trackers accurate and current.
  • Assist with budget monitoring, purchase orders, supplier coordination, and production paperwork.
  • Make sure project information is structured clearly and can be accessed easily.
  • Use tools such as ClickUp, Google Sheets, and similar platforms to manage work.

Asset and file management

  • Oversee footage handling, file transfers, backups, archiving, and general project organisation.
  • Maintain consistent folder structures and naming systems across productions.
  • Support editors and content teams by keeping assets organised and available when needed.
  • Help manage cloud storage tools and production databases.

Post-production support

  • Coordinate edit schedules and delivery milestones.
  • Assist with version control, client feedback, approvals, and final delivery of assets.
  • Ensure content is exported in the required formats and stored properly.

Shoot support

  • Attend selected shoots and race weekends when needed.
  • Assist producers and crews on location with logistics, scheduling, and general production support.
  • Help maintain clear communication between clients, crews, and internal teams.

Team and client communication

  • Act as a key coordination point across departments.
  • Share project updates clearly, promptly, and proactively.
  • Anticipate issues early and contribute practical solutions.
  • Support client-facing teams by helping keep projects on schedule.

Requirements

  • Between 1 and 3 years of experience in a Production Coordinator, Production Assistant, Junior Producer, or comparable role.
  • Background in content production, creative agencies, sports, events media, or digital content environments.
  • Strong organisational and administrative capability.
  • Very good attention to detail.
  • Comfort working across several projects at the same time.
  • Confident communication skills and the ability to work with different teams.
  • Experience with Google Workspace, project management tools, and cloud storage systems.
  • Understanding of content production workflows and post-production processes.
  • Basic familiarity with video production, editing workflows, file management, and Adobe tools.
  • Interest in sport, motorsport, Formula 1, or social media content production is strongly preferred.
  • Willingness to travel occasionally and support productions on location.
