Production and Compliance Administrative Assistant

Role Overview

This position reports directly to the Production Manager and is vital in supporting the seamless operation and oversight of production for both women's and men's lines across factories located in Turkey, China, and India. A key focus includes ensuring the integrity of materials, overseeing fabric testing, and upholding sustainability compliance at every stage of production.

Key Responsibilities

• Processing and dispatching purchase orders (POs).
• Issuing product barcodes efficiently.
• Reviewing and approving invoices alongside packing lists.
• Managing care label approvals in collaboration with factories, ensuring alignment with fabric composition and regulatory standards for washing and care instructions.
• Coordinating fabric and garment testing with laboratories and factories, including tests for colourfastness, shrinkage, pilling, tensile strength, and meeting country-specific criteria; monitoring results and following up on retests or failures.
• Ensuring washing and care labelling compliance across all product categories.
• Tracking sustainability credentials related to fabrics and trims, such as certifications, recycled content, and responsible sourcing standards, and maintaining necessary documentation.
• Maximizing the benefits from sustainability partners including Sedex and Fairly-Made.
• Regularly updating Airtable databases with fabric test statuses, care label approvals, and sustainability information.
• Overseeing sample organisation and maintenance, coordinating between social and wholesale teams for sampling requirements.
• Liaising with third-party suppliers such as testing labs and certification agencies regarding agreements and orders.
• Following up with factories on testing schedules, fabric approvals, wholesale client requirements, and compliance records.
• Collaborating internally to ensure timely, complete, and quality delivery of goods to wholesale customers.
• Assisting the wider team with miscellaneous tasks and maintaining an organised office environment.

Candidate Requirements

• Possess a solid commercial awareness of retail dynamics, including brand profiles, sales potential, and brand relationships.
• Interest in or basic knowledge of fabric testing methods, care labelling protocols, and textile sustainability concepts (training will be provided as needed).
• Proficiency in Microsoft Excel.
• Adaptable and flexible in work approach with strong communication skills and ability to engage effectively across departments including factories, labs, and compliance teams.
• High attention to detail, particularly when reviewing testing outcomes, care labels, and compliance documents.
• Capable of maintaining composure under pressure, handling multiple projects simultaneously with tight deadlines.
• Excellent administrative and organisational capabilities coupled with problem-solving skills.
• Understanding budgeting concepts and an eagerness to develop further in this area.
