Role Overview
The Production Administrator will handle day-to-day administrative coordination related to employee leave, medical insurance onboarding, gate pass processing, and HR documentation control. The role requires careful record management, timely updates, and close coordination with employees, HR, and external providers.
Key Responsibilities
- Record sick leave and annual leave requests in the system on the same working day they are received.
- Check leave details carefully and confirm all supporting documents are in place before sending them forward.
- Keep employee leave records current and follow up with employees when information is incomplete.
- Assist HR with medical insurance applications for newly hired employees.
- Make sure all enrollment forms and related documents are fully completed and submitted on the employee’s joining date.
- Liaise with the insurance provider to arrange issuance of medical cards.
- Log all gate pass requests in the system on the same working day.
- Review each gate pass request for correctness and ensure the required approvals are attached.
- Maintain gate pass records for audit purposes and reporting needs.
- Organize and file HR documents such as memos, correspondence, letters, and approvals.
- Ensure memos are released promptly and all records are maintained accurately.
- Keep both electronic and paper filing systems organized for quick retrieval and compliance.
Requirements
- Bachelor’s degree in Business Administration from an accredited college or university is preferred, or equivalent training.
- 3 to 5 years of experience in an administrative assistant, executive assistant, or similar role within a manufacturing environment.
- Strong spoken and written English communication skills; Arabic is an added advantage.
- Comfortable using standard office equipment and maintaining office tools.
- Able to collect and analyze data, prepare reports, and manage databases and documentation efficiently.
- Open to taking on additional tasks as needed from time to time.
- Consistently works with speed while maintaining high quality.
- Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint.
- Working knowledge of the internet.
