Job description

Overview

We are seeking a dependable and well-organized Post Room Assistant to join our team and contribute to a fast-paced workplace. This position involves managing incoming mail services for the Council and utilizing the electronic document management system in compliance with relevant legislation and guidelines.

Key Responsibilities

  • Handling the opening, sorting, and electronic distribution of postal items.
  • Maintaining accurate records within the Council's electronic filing system while strictly adhering to Data Protection regulations.
  • Scanning and indexing incoming correspondence, linking digital images to existing records or creating new accounts on the Civica EDRMS system as required.
  • Following all security procedures within Council premises.
  • Performing additional duties as delegated by the line manager.

Required Qualifications and Experience

  • Good educational background including GCSE in English or its equivalent.
  • Prior experience working in a postal or mailroom environment is preferred.
  • Familiarity with electronic document management systems is an advantage.
  • Basic understanding of health and safety standards and manual handling practices.
  • Competent user of Microsoft Office applications such as Outlook, Word, and Excel.
