Role Purpose

The Portfolio Coordinator is responsible for supporting the day-to-day administration of investment portfolios. The role involves managing capital calls, portfolio reporting, banking and KYC workflows, vendor and project setup, compliance tasks, and documentation related to investments.

Responsibilities

  • Coordinate capital call activities and ensure they are completed on time, while keeping relevant stakeholders informed.
  • Handle KYC requirements, bank account setup, and related compliance documentation and workflows.
  • Keep accurate records for investments, funds, and portfolios, including contracts, reports, correspondence, and valuation support materials.
  • Assist with setup for new investments, including project and vendor onboarding, CAS creation, and system administration tasks.
  • Process invoices, create purchase requisitions, and support accounts receivable functions.
  • Collect reporting from fund managers and portfolio companies, and maintain databases used to track portfolio performance.
  • Manage subscriptions for investment platforms, research databases, and market information services.
  • Monitor deadlines, deliverables, and action items to keep portfolio operations moving efficiently.
  • Act as a primary operational contact for internal teams and external partners.

Requirements

  • A bachelor’s degree in Finance, Accounting, Business Administration, or a closely related discipline.
  • Prior experience in investment operations, portfolio administration, or finance operations.
  • Working knowledge of capital calls, portfolio reporting, KYC, banking processes, and investment operations.
  • Strong planning, coordination, and stakeholder management abilities.
  • Excellent accuracy and the capacity to handle several priorities at once.
  • Advanced Microsoft Excel skills; familiarity with Oracle or comparable ERP software is an advantage.
  • Strong written and verbal communication skills, with the ability to collaborate across internal and external teams.

Additional Information

  • Location: Abu Dhabi.
  • Flexible working: remote work is available for up to 5 days per month.
  • The position is a fixed-term contract and is aligned to Mubadala Investment Company.
