About the Role
We are seeking an experienced and confident Personal Assistant to support the Managing Director of a vibrant creative agency located in the West End of London. This position offers a hybrid working setup, requiring attendance three days a week at the office, with flexibility to choose between 8:30am-4:30pm or 9am-5pm shifts. You will become an integral part of a dynamic, collaborative team that values culture, energy, and supportiveness within a social and ambitious work environment.
Responsibilities
- Manage the Managing Director's diary and calendar, including all meetings, travel arrangements, and scheduling commitments.
- Prepare documents, presentations, and correspondence ahead of meetings to ensure readiness and professionalism.
- Organize meetings and follow up on action points to maintain smooth workflow and progress.
- Serve as a key intermediary between the Managing Director and internal teams, clients, and external partners.
- Handle confidential and sensitive information with the utmost discretion and professionalism.
- Gain a comprehensive understanding of the Managing Director’s role, key relationships, and working habits to deliver seamless assistance.
- Process expenses, invoices, and approvals in accordance with internal procedures.
- Proactively solve problems to help the Managing Director's day run efficiently and calmly.
Requirements
- Proven experience as a Personal Assistant or in a similar high-level administrative role.
- Strong organizational and time-management skills with the ability to prioritize tasks effectively.
- Excellent communication and interpersonal abilities to liaise confidently with diverse stakeholders.
- Discretion and professionalism in handling confidential information.
- Proficient in managing calendars, preparing presentations, and coordinating complex meetings.
- Ability to adapt to the Managing Director’s style and work collaboratively within a dynamic team.
