Role Overview
The position of Personal Assistant to the General Manager is a full-time, on-site role based in Oamaru. The incumbent offers comprehensive administrative and personal assistance to the General Manager, encompassing diary oversight, scheduling meetings, preparing agendas, and coordinating travel arrangements and logistics. Responsibilities include composing correspondence, compiling various reports, safeguarding confidential data, and maintaining precise filing and record systems. The role involves interaction with both internal and external stakeholders, supporting daily operational activities of the GM, and facilitating the smooth function of the GM’s office. The ideal candidate will demonstrate a proactive mindset, exceptional attention to detail, and the capacity to balance multiple priorities in a dynamic work environment.
Requirements and Qualifications
- Proven experience in executive administrative roles supporting senior leadership figures.
- Advanced skills in providing personal assistance through proactive task management and relationship coordination.
- Expertise in diary and calendar management, including scheduling and meeting coordination.
- Competence in clerical duties such as document preparation, filing, and data maintenance.
- Excellent communication skills, both written and oral, with a strong emphasis on accuracy and detail.
- Ability to exercise discretion and manage confidential information with responsibility.
- High proficiency in office software tools including email, calendar applications, word processors, spreadsheets, and presentation software.
- Strong organizational and time management skills, capable of juggling several responsibilities effectively.
- Previous experience in a Personal Assistant or Executive Assistant role, preferably supporting senior executives like a GM or CEO.
