Position Overview
HoneyBadger Charging Inc. is seeking an exceptionally organized and proactive Personal Assistant to provide comprehensive support to the business owner and his family in Vancouver, BC. This role demands high discretion, meticulous attention to detail, and the capacity to effectively juggle diverse priorities. The chosen candidate will coordinate household and family activities, collaborate closely with the house manager and the executive’s spouse, and ensure the smooth functioning of day-to-day logistics.
Essential Responsibilities
- Maintain comprehensive calendars for the family, encompassing school events, extracurricular activities, appointments, and travel arrangements.
- Act as the main communication link between the executive, spouse, and house manager, ensuring alignment and seamless scheduling.
- Manage children’s activities including enrollment, scheduling lessons, organizing transportation, and liaising with teachers, coaches, and schools.
- Coordinate household logistics such as vendor interactions, maintenance appointments, and delivery management.
- Assist with detailed planning of family travels, including flights, accommodations, itineraries, and packing tasks.
- Manage communications and correspondence on behalf of the family when appropriate, while maintaining confidentiality.
- Prepare and oversee expense reports, budgets related to family and household expenses, and track payments to service providers.
- Organize both digital and physical files concerning family, property, and personal matters.
- Plan and coordinate family or household events, including dinners and social gatherings.
- Run personal errands such as purchasing gifts, handling returns, and arranging deliveries.
- Support seasonal or special projects initiated by the spouse and house manager, for example, back-to-school preparation and holiday planning.
Qualifications and Skills
- Possession of a post-graduate degree is required.
- Experience ranging from three to five years in personal assistant, family assistant, or executive assistant roles.
- Exceptional organizational and time management capabilities, with the ability to foresee needs and manage shifting priorities gracefully.
- Excellent verbal and written communication skills.
- High level of professionalism, discretion, and reliability essential.
- Strong proficiency in Microsoft Office Suite, Google Workspace, and digital calendar platforms.
- Valid driver's license and dependable transportation access mandatory.
- Experience in a household or family office environment preferred.
- Comfort and skill in engaging with children and managing associated logistics.
- Adaptability with a willingness to undertake varied tasks efficiently.
- Positive attitude, team spirit, and outstanding interpersonal communication.
