Role overview
This position is a confidential personal assistant role supporting senior leadership at a semiconductor company in Singapore. The core purpose of the job is to keep executive calendars, business priorities, and day-to-day corporate operations running smoothly and efficiently.
Key responsibilities
- Offer dedicated private and confidential personal assistant support to the on-site President/CTO, while also separately supporting the off-site CEO in the same confidential capacity.
- Maintain meeting schedules, manage appointments, coordinate travel, organise visits, and keep agendas up to date.
- Support internal communication across the Singapore office and other group companies, and assist with external corporate correspondence where needed.
- Plan and coordinate corporate events and provide ad hoc administrative help to the executive team.
- Handle other HR, office, and business operations tasks as assigned from time to time.
- Record dictation, prepare meeting minutes, and follow through on action items and discussion points.
- Draft reports, presentations, and executive briefs.
- Help the CEO and President/CTO track important deadlines and remind department heads about pending tasks.
- Maintain databases and filing systems that support corporate office operations.
- Oversee office efficiency, including office equipment, supplies, inventory, and routine reporting such as expenses and office budgets.
- Monitor supply levels and liaise with vendors to secure the most cost-effective purchasing terms.
- Provide additional administrative support to other teams as directed by senior leadership.
Qualifications and experience
Candidates should have either a diploma in business administration, relevant secretarial experience, or a closely related background. A minimum of 5 years' proven experience in a personal assistant, executive secretary, or similar corporate administrative role is required.
Skills and knowledge
The role calls for strong MS Office capability, familiarity with back-office systems such as ERP software, and solid knowledge of office management practices. The ideal candidate must also demonstrate excellent organisation, time management, communication, negotiation, confidentiality, and multitasking abilities.
