This is an on-site role and may involve a reasonable amount of local travel and external errands whenever required.
What you will do
- Manage the Principal’s daily personal admin, such as diary coordination, appointment setting, dining reservations, transport arrangements, document handovers, and similar ad hoc tasks.
- Organize travel end-to-end, including flights, accommodation, local transfers, visas, insurance, and other trip-related logistics.
- Work with outside vendors and support contacts such as housekeeping teams, property management, drivers, schools, banks, and other service providers.
- Monitor personal and family-related tasks, following up proactively and keeping things moving toward resolution.
- Handle personal purchasing needs, including gifts and other everyday buying requests.
- Support reimbursement processing, payment tracking, and expense documentation.
- Help plan and run private events, business dinners, family activities, and similar gatherings.
- Arrange venues, catering, suppliers, and event-day logistics.
- Keep well-structured records of contacts, vendors, and other important information.
- Protect sensitive and confidential information at all times.
- Respond quickly to urgent requests and changing priorities from the Principal.
- Stay adaptable, assess priorities independently, and handle unexpected situations with a calm and professional approach.
Experience and requirements
- Around 3 or more years of experience in a role such as Executive Assistant, Personal Assistant, Lifestyle Assistant, Family Office Assistant, Administrative Support, or a comparable high-end service environment is preferred.
- Comfort with occasional irregular working hours and time-sensitive requests is expected.
- Strong command of both English and Chinese, including written and spoken communication.
- Prior exposure to supporting high-net-worth individuals, entrepreneurs, senior executives, or family offices is highly desirable.
- Good familiarity with local lifestyle and service networks, including healthcare, education, property management, dining, transportation, and event coordination.
- A mature, emotionally aware, professional manner with the ability to build long-term working relationships.
- Strong problem-solving ability and the capability to deliver results even when details are incomplete.
Additional information
The role may require local travel and external errands as part of regular support duties.
