Role Overview

We seek a Personal Assistant and Team Support professional for a 12-month contract based in London, with a possible extension. This position blends office and remote work, requiring presence at the office three days a week, with two days working remotely.

Key Responsibilities

  • Assist the Head of Integrated Process Risk Controls and the Manager of T&S Transformation Program Delivery, both London-based.
  • Manage daily administrative duties such as expense processing, travel arrangements, event planning, contractor onboarding, purchase order raising, invoicing, and diary management.
  • Provide systems support and coordinate logistics for internal communication events including Townhalls and webcasts.
  • Work closely with other Personal Assistants in the T&S business unit to share knowledge and collaborate effectively.
  • Attend and participate proactively in T&S admin skill pool meetings and support the admin team during absences or special events.
  • Serve as the access focal point for designated secure areas, ensuring compliance with security protocols.
  • Prepare documents including reports and presentations, while maintaining confidentiality at all times.
  • Communicate efficiently with stakeholders at all levels, fostering strong professional relationships.
  • Maintain a high standard of compliance with company principles, including integrity, diversity and inclusion (D&I), health and safety (HSSE), and regulatory requirements.
  • Demonstrate resilience under pressure and the ability to prioritize multiple tasks to meet deadlines.

Essential Requirements

  • Proven administrative and organizational expertise, capable of multitasking and managing workload independently.
  • Strong proficiency in English with excellent written and verbal communication skills.
  • Interpersonal skills to build positive relationships and professional networks within and beyond the organization.
  • Digital literacy, including strong proficiency with Microsoft Office suite and familiarity with various Shell online systems.
  • Motivation to continuously learn and enhance skills, with willingness to act as SharePoint Functional System Owner (FSO) if needed.
  • Ability to actively provide and accept constructive feedback and engage in team collaboration.

Work Conditions & Employment Details

  • Work location: London office with remote working flexibility (3 days onsite, 2 days remote)
  • Contract duration: 12 months, with possibility of renewal
  • Work week: Monday to Friday
