Position overview

UCLA Extension is seeking a People Operations Assistant for a limited appointment lasting 5 months, with a chance of being extended. The role is based at UCLA Downtown in Los Angeles and requires on-site work at least two days each week, depending on the needs of the department and organization.

UCLA Extension is a leading provider of continuing and professional education in the United States. It serves more than 50,000 learners annually through roughly 4,500 classes and certificate programs designed for traditional, nontraditional, domestic, international, professional, and continuing education students across Los Angeles and beyond.

Role summary

Working under the general supervision of the Talent Acquisition Manager and with a dotted reporting line to the Director of People Operations, this position supports the UCLA Extension People Operations team through administrative, recruitment, payroll, and operational tasks. The assistant helps with staff and instructor hiring, onboarding support, general office operations, payroll processing, and special projects while gaining familiarity with the broader functions of the department.

Key duties

  • Support recruitment efforts for staff and instructors.
  • Assist with hiring steps and onboarding activities.
  • Provide day-to-day administrative support for the People Operations office.
  • Process payroll-related transactions.
  • Contribute to special assignments and departmental projects.
  • Work across different areas of the team to help meet departmental goals.

Qualifications

  • At least 1 year of relevant experience in administrative services and/or supporting human resources operations.
  • Strong attention to detail, accuracy, and clarity when handling information.
  • Excellent interpersonal ability to work effectively with campus personnel, leaders, staff, and members of the public from varied backgrounds.
  • Ability to work independently, carry tasks through to completion, and prioritize according to urgency and importance.
  • Fast and accurate word processing skills for correspondence, reports, spreadsheets, and database entry in a Windows environment.
  • Ability to manage confidential records and sensitive matters with good judgment.
  • Strong customer service approach with professionalism, responsiveness, and a solutions-focused mindset.
  • Hands-on experience using Microsoft Word, Excel, and PowerPoint in Windows, along with email and internet tools.
  • Ability to juggle multiple tasks and shift between priorities as needed.

Education and eligibility

A high school diploma or equivalent experience is required. Applicants must be 18 years of age or older. A satisfactory background investigation and a Live Scan background check are required before employment can begin and for continued employment. This role is intended for candidates who can work on-site in Los Angeles and meet the stated employment conditions.

Schedule

Work hours are 8:00 am to 5:00 pm PST.
