Role Summary

The Payroll & HRIS Coordinator supports payroll operations and HR administration so that employee pay, records, and related processes remain accurate, timely, and compliant. This position is important for maintaining a smooth employee experience, keeping HR data clean and reliable, and assisting with employee lifecycle activities.

The role works closely with employees, managers, Finance, and outside vendors while supporting a distributed global workforce and contributing to strong operational performance within the People team. Candidates based in the Sarasota area will work in a hybrid format with 2 days in the office; all others will work remotely.

Payroll Administration

  • Run payroll accurately and within deadlines for employees in multiple locations, including international payroll cases.
  • Check payroll inputs such as hours, deductions, bonuses, commissions, and benefits updates to confirm accuracy.
  • Help investigate payroll variances, support reconciliations, and assist with audit preparation.
  • Keep payroll records current and aligned with relevant federal, state/provincial, and local rules.
  • Liaise with payroll providers and internal teams to resolve payroll-related matters.
  • Assist with year-end payroll tasks, including tax documentation and reporting.
  • Take on additional payroll-related responsibilities as needed.

HRIS & HR Administration

  • Update and maintain employee records within the HRIS platform.
  • Support onboarding and offboarding by preparing documents and completing system changes.
  • Help administer employee benefits, including enrollments and changes.
  • Prepare HR and payroll reports when requested.
  • Maintain personnel files while protecting accuracy and confidentiality.
  • Assist with HR policy, procedure, and compliance documentation.
  • Respond to employee questions related to payroll and HRIS topics.
  • Contribute to HR projects and other People team initiatives as assigned.

Requirements

  • 3 to 5 years of experience handling payroll processing and HR administration.
  • Hands-on experience with HRIS and payroll platforms.
  • Solid understanding of payroll processes, wage regulations, and compliance requirements.
  • Excellent attention to detail and strong organizational ability.
  • Comfort working with confidential and sensitive information in a professional manner.
  • Strong verbal and written communication skills with a customer-service mindset.
  • Proficiency with Microsoft Office tools, especially Excel.
  • Exposure to multi-state or international payroll is a plus.

Preferred Qualifications

  • Payroll certification such as CPP, PCP, or an equivalent credential is an advantage.
  • Experience in a fast-moving or global organization is preferred.
  • Familiarity with benefits administration and employee lifecycle processes is beneficial.
