Role overview

The Patient Scheduler works remotely to support patients by coordinating appointments, handling schedule changes, and offering assistance throughout their care experience. This position helps keep communication flowing smoothly between patients and clinical teams while supporting efficient day-to-day operations and a positive patient journey.

Key responsibilities

In this role, you will manage patient interactions with professionalism, organize scheduling needs, and support both clinical and administrative workflows. You will also help maintain accurate records, assist with insurance and billing-related questions, and ensure that operational standards are followed.

  • Welcome and assist patients with respectful, professional communication.
  • Handle recall appointments and track missed visits or cancellations.
  • Direct incoming calls using transfers, paging, voicemail, or call redirection.
  • Collect, review, and relay messages from the answering service.
  • Register new and returning patients and activate their records.
  • Receive and record copayments accurately.
  • Provide support for claims and billing-related questions.
  • Confirm insurance eligibility and explain coverage limitations where needed.
  • Book patient visits and follow-up appointments.
  • Record patient interactions clearly and accurately.
  • Support patients and medical staff as needed.
  • Work with clinical teams and leadership to keep operations running smoothly.
  • Follow SOPs and comply with HIPAA, OSHA, and related policies.
  • Take part in team meetings and quality improvement efforts.
  • Carry out other duties as assigned.

Requirements

  • High school diploma or an equivalent qualification.
  • 1 to 2 years of experience in customer service.
  • Preferred background in call centers, medical reception, or patient services.
  • Comfort using computers, MS Office, email, and internet research tools.
  • Working knowledge of HIPAA rules and insurance payors.
  • Experience with EHR systems is preferred.
  • Strong verbal and written communication skills.
  • Ability to multitask, manage time well, and work collaboratively.
  • Capacity to handle a high volume of calls and shifting priorities.

Compensation

The pay range for this position is $18 to $21 per hour. Final compensation will depend on factors such as skills, experience, location, qualifications, and other job-related considerations.
