Job description
Role overview
Eden Medical Clinic is hiring a part-time Patient Coordinator for its Tallaght clinic in South Dublin, Ireland. The position is focused on creating a welcoming, professional patient experience while handling day-to-day administrative support and ensuring follow-up communication is completed effectively. The role requires comfort with phone, email, messaging platforms, and other social communication channels, along with a flexible approach to scheduling.
Working pattern
This is a part-time position working 2 days per week. The schedule should allow for evenings and every second Saturday. The role is subject to a 6-month probationary period.
Key duties
The Patient Coordinator will manage appointment scheduling, support patients with questions, and help fill cancelled slots using the patient priority list. The role also involves managing calls, emails, and messages; providing a high standard of customer service at reception; checking patients in and out; and helping ensure each visit is comfortable, safe, and positive. The coordinator is also expected to listen carefully to patient concerns and assist with resolving them.
Additional responsibilities include supporting the wider team when absences need to be covered, which may occasionally involve working from another clinic location. In such cases, travel and accommodation expenses are covered where needed. The role also covers stock and ordering tasks, maintaining a clean and well-supplied clinic, completing stock-take requirements, and passing order needs to the manager. The position includes adherence to clinic policies, safety procedures, PPE requirements, team conduct standards, and GDPR compliance, as well as carrying out opening and closing duties for the clinic.
Skills and attributes
The ideal candidate will bring a positive, energetic, and approachable attitude, along with reliability and trustworthiness. They should enjoy working with people, build rapport easily, and communicate in a professional and confident manner. Strong planning, prioritisation, multitasking, organisation, and time-management abilities are important, especially in a busy environment. Good written and verbal communication skills, computer literacy, and adaptability are also essential.
Experience and education
Applicants should have at least 3 years of customer service experience. Prior clinic experience is considered an advantage, and experience working with KPIs is desirable. A Leaving Certificate is required, while a Medical Admin or Dental Nursing qualification would be beneficial.
Training and benefits
The clinic offers training on its sales process, internal systems, and treatments. Employee discount is included, subject to terms and conditions.
Compensation
The pay range for this role is €14.15 to €16.00 per hour.
Additional notes
The role requires flexibility and may involve supporting another clinic location on occasion. All relevant policies, safety measures, and workplace procedures must be followed at all times.
