Role Summary
The receptionist serves as the initial point of contact for clients and helps direct questions, concerns, and requests to the appropriate team member. In addition to handling reception duties, the role supports office operations by coordinating communication, maintaining client areas, and assisting with administrative workflow.
Responsibilities
- Respond to incoming calls and route them to the correct person or department.
- Handle the firm’s multi-line or digital phone system and shared inboxes.
- Record messages accurately and pass them along promptly.
- Return voicemail follow-ups in a timely manner.
- Welcome clients warmly and professionally.
- Keep conference rooms, the lobby, and other client-facing areas neat and presentable.
- Prepare conference rooms for closings and meetings.
- Gather required documents before meetings and closings when needed.
- Receive, sort, and distribute mail and packages efficiently.
- Contact clients and agents to share updates or confirm appointments as needed.
- Assign incoming new orders based on the established workflow.
- Place office supply orders to keep equipment and the workplace functioning properly.
- Coordinate multiple appointments at the same time while maintaining privacy and directing visitors correctly.
- Manage items waiting for client or agent pickup.
- Take on other related duties as assigned.
Schedule
- This is a part-time position averaging 12 to 15 hours each week.
- The preferred schedule is Monday, Thursday, and Friday from 1:00 PM to 5:00 PM.
- Schedule flexibility may be considered when possible.
Requirements
- High school diploma or equivalent is required; an associate degree is preferred.
- At least 2 years of experience in receptionist, customer service, administrative, or client-facing work is preferred.
- Ability to notice needs early and take initiative to solve problems.
- Strong verbal and written communication skills.
- Comfort staying calm, polished, and effective in a fast-moving environment.
- Good organizational ability, time management, and attention to detail.
- Technical comfort with digital records, multiple systems, and file-related support tasks.
- Excellent interpersonal and customer service skills.
- Professional appearance and a positive, service-oriented attitude.
- Working knowledge of Microsoft Office Suite and willingness to learn new platforms.
