Role Summary

Beyond the Desk is hiring an organized, proactive, and creative early-career professional to support the co-founders as a part-time Chief of Staff. This opportunity is well suited to a recent graduate who wants broad exposure across entrepreneurship, business operations, marketing, client delivery, and executive support.

The selected candidate will work closely with the founders to help keep day-to-day operations running smoothly, coordinate client and internal work, manage digital content and assets, and support marketing and business development efforts.

Working Details

Location: Remote, with preference for candidates based in the United States

Schedule: 20 hours per week

Reporting to: Kelly Monahan and Kim Fazio, Co-Founders of Beyond the Desk

Core Responsibilities

Website and digital presence

  • Keep the company website updated and accurate
  • Share fresh content, resources, and company announcements
  • Support basic SEO and site optimization work
  • Help manage Dr. Kelly Monahan's social media accounts

Marketing and content support

  • Build presentations, social media graphics, reports, and client materials in Canva
  • Create branded templates and visual assets
  • Assist with promoting content across digital channels
  • Help prepare and send newsletters

CRM and business development support

  • Maintain HubSpot records and workflow processes
  • Update contact lists and monitor outreach activity
  • Support lead generation and partnership efforts
  • Assist with proposals and follow-up communication

Project and operations support

  • Coordinate timelines, deliverables, and meeting arrangements
  • Support both client-facing and internal strategic projects
  • Prepare meeting summaries, next steps, and status updates
  • Research workplace trends, competitors, and potential partners
  • Help improve workflows and operational processes

Executive support

  • Support scheduling and administrative coordination for the co-founders
  • Track priorities, deadlines, and follow-up tasks
  • Act as a dependable organizational partner across multiple initiatives

Qualifications

Required

  • A bachelor's degree completed within the past 1 to 3 years, or graduation expected soon
  • Strong ability with Canva and an eye for visual design
  • Prior experience using HubSpot or a comparable CRM system
  • Excellent organization and project coordination skills
  • Strong written and spoken communication skills
  • High attention to detail and the ability to manage several priorities at once
  • Self-driven approach and comfort working in a fast-moving, entrepreneurial setting

Preferred

  • Experience updating website content on platforms such as WordPress, Squarespace, Webflow, or similar tools
  • Exposure to social media management tools
  • Interest in the future of work, leadership, talent, or organizational strategy
  • Background supporting founders, executives, student groups, or startup teams

Compensation

Hourly pay starts at $25 per hour.
