Role Overview

We are looking for a detail-oriented, proactive Operations Manager to lead our inventory management, control processes, order fulfillment, logistics, quality assurance, and wholesale activities. This on-site full-time role requires working closely with production, sales, design, accounting, vendors, and wholesale partners to maintain meticulous inventory records and ensure seamless order processing, all while upholding the standards of a luxury fine jewelry brand.

Key Responsibilities

  • Maintain precise, up-to-date inventory data across platforms such as Odoo, Shopify, and other supporting systems, covering raw materials, finished products, packaging, production and purchase orders, transfers, returns, and consignment stock.
  • Handle incoming materials and completed pieces by verifying quantities and documentation, photographing items received and shipped, and ensuring traceability and proper records.
  • Organize quarterly physical inventory audits, resolve any discrepancies found, and generate monthly inventory valuation along with operational reports, collaborating closely with accounting.
  • Manage order fulfillment for both direct consumers and wholesale clients from receipt through shipment, ensuring careful packaging, coordinating domestic and international shipping, managing couriers, customs paperwork, repairs, returns, and RMAs.
  • Conduct rigorous quality-control inspections on incoming materials and finished jewelry, escalating any issues to vendors, production partners, or internal teams for resolution.
  • Collaborate with production, vendors, sales, and wholesale accounts to provide updates on product availability, order tracking, shipment timing, and operational challenges.
  • Support wholesale operations by managing order-data templates, shipping portals, product availability requests, account-specific needs, and international/domestic shipments.
  • Act as the primary operational liaison for the accounting department by delivering accurate and timely documentation related to inventory, production, shipments, vendors, and wholesale activities, without direct responsibility for bookkeeping.
  • Monitor and analyze shipping and operational expenses, identifying opportunities to enhance workflow, reporting, accuracy, and efficiency while ensuring an exceptional client experience.
  • Maintain organized areas for shipping, inventory, packaging, and storage, while ensuring stock levels of operational and office supplies are adequate.
  • Develop, document, and refine standard operating procedures, internal controls, and best practices for inventory management, fulfillment, logistics, and reporting.

Candidate Requirements

  • At least 3 to 5 years of professional experience in operations, inventory management, logistics, order fulfillment, production coordination, or related functions.
  • Preferably experienced in fine jewelry, luxury goods, fashion, accessories, or other high-value product sectors.
  • Proficient with Odoo or similar ERP/inventory management software; strong preference for candidates familiar with Shopify.
  • Experience handling receiving processes, physical inventory counts, inventory reconciliation, order fulfillment, and both domestic and international shipping procedures.
  • Knowledge of customs documentation, wholesale shipment specifications, RMAs, and shipping portals like ACE or VEX is advantageous.
  • Excellent skills in spreadsheets, reporting, organization, and written communication.
  • Exceptional attention to detail and confidence in managing valuable, unique, and client-owned items.
  • Sound judgment, discretion, accountability, and a proactive mindset towards problem-solving.
  • Capacity to prioritize multiple tasks, monitor progress, and work independently.
  • A polished, customer-focused demeanor aligned with luxury brand standards.
  • Ability to work on-site in Los Angeles five days per week.

Compensation and Benefits

This role offers a salary range from $65,000 to $85,000, commensurate with experience and qualifications.

Work Schedule and Location

Full-time position with a typical 40-hour workweek, Monday through Friday. Regular hours are approximately 8:00 a.m. to 4:00 p.m. or 9:00 a.m. to 5:00 p.m. This role is based on-site in Los Angeles, CA.
