Role Overview
We are seeking a proactive Operations Director to lead the core operational functions of Your Other Half. Collaborating closely with the CEO, you will oversee business operations, eliminate workflow obstacles, and develop scalable systems. Your responsibilities will encompass client services, financial processes, technology management, internal personnel operations, reporting, and team execution.
This position demands a hands-on builder rather than a purely strategic operator. You will replace manual or CEO-dependent tasks with clear accountability, thoughtful automation, and reliable follow-through. Fluency in AI, including building operational automations using AI, no-code, low-code, or workflow tools, is essential. Candidates must be skilled at evaluating, enhancing, and automating processes to save time without sacrificing quality.
Familiarity with the Entrepreneurial Operating System (EOS) is highly preferred. You should be comfortable with EOS components like Rocks, Scorecards, Level 10 Meetings, accountability frameworks, documented core procedures, and root-cause problem solving.
Key Responsibilities
- Manage client operations from contract signing through offboarding, ensuring smooth workflows including contracts, invoicing, onboarding files, permissions, and access.
- Maintain and improve billing and financial operations including invoice coordination, accounts receivable tracking, month-end closing with external bookkeeper, and vendor payments.
- Oversee systems and tools such as Asana, Slack, Zoom, Google Workspace, Harvest, and 1Password, including access control, renewals, vendor relations, and documenting standard operating procedures (SOPs).
- Handle internal people operations including offer and compensation letters, benefits coordination, leave administration, performance reviews, employee records, and team event planning.
- Create and maintain reporting systems and business dashboards, supporting leadership visibility, risk identification, operational planning, and capacity modeling.
- Design and implement AI-driven and automated operational workflows across client onboarding, contract management, invoicing, reporting, and recurring requests, ensuring measurable efficiency improvements.
- Support EOS execution by maintaining operating rhythms, documenting processes, fostering accountability, and providing clear leadership reports.
- Coordinate legal activities including contract reviews, policy updates, and maintaining obligations tracking.
Success Milestones
Within six months, you will establish standardized client workflows independent of CEO involvement, organize filing systems, automate key processes, document and implement SOPs, and enhance operational reporting and team accountability.
Within a year, AI and automation will be deeply integrated into operations, with consistent financial and HR processes established, improved client payment systems, enhanced operational visibility, and a demonstrable shift of CEO time toward strategic initiatives.
Candidate Profile
- Experience building operational automations utilizing AI, no-code, low-code, or workflow platforms.
- Previous work within EOS-driven companies with strong understanding of its methodology.
- Proven ability to identify inefficiencies and design scalable, user-friendly systems.
- Comfort balancing strategic planning with hands-on execution across client, financial, people, and technology domains.
- Strong communication skills to simplify complex processes and lead organizational change.
- Proactive, resourceful, and capable of direct collaboration with executive leadership.
Required Experience
Background in consulting, professional services, HR, or client-service industries is strongly favored.
Technical Expertise
Candidates should be ready to discuss past operational automations they designed, including tools used (examples include ChatGPT, Claude Cowork, Asana, and Slack workflows), replaced manual processes, testing, documentation, maintenance, measurable impact, and adoption strategies.
Compensation and Terms
- Annual base salary of $100,000.
- Eligibility for discretionary annual bonuses.
- Full-time, salaried, non-exempt classification with overtime eligibility per law.
- Fully remote work environment.
- Reports directly to the Chief Executive Officer.
