Position Overview

This opportunity is for an OBStat Operations Coordinator within a partner organization based in the United States. The role is fully remote and is focused on supporting and optimizing recruiting operations to ensure a smooth candidate and clinician experience throughout the hiring lifecycle.

Key Responsibilities

  • Facilitate coordination and scheduling of interviews among clinicians, recruiters, and other internal stakeholders, ensuring calendars are maintained accurately and communication is prompt.
  • Provide administrative and operational assistance to recruiting teams to enhance daily workflows and candidate engagement efforts.
  • Manage candidate data, records, and workflows using applicant tracking systems (ATS), CRM platforms, and related tools.
  • Support sourcing, outreach, and communication activities to maintain active candidate engagement throughout recruitment.
  • Initiate and monitor background checks, reference verification, credentialing, and onboarding processes.
  • Keep interview schedules, follow-ups, documentation, and workflow updates precise and current.
  • Assist in clinician onboarding, contractor lifecycle administration, and management of necessary documentation.
  • Work on updates and maintenance within HRIS and time management systems to ensure data accuracy.
  • Prepare reports and assist in operational audits on weekly, monthly, and quarterly timelines.
  • Provide excellent customer service and serve as a dependable contact for clinicians and internal teams.

Candidate Profile and Requirements

  • Between 1 to 3+ years of experience in operations, recruiting coordination, administrative roles, or related fields.
  • Exceptional organizational capabilities to manage multiple priorities, meet deadlines, and handle various workflows effectively.
  • Strong verbal and written communication skills for professional interaction with clinicians and stakeholders.
  • High attention to detail with a dedication to maintaining accurate documentation and records.
  • Proficiency in Microsoft Office suite including Excel, Word, and PowerPoint.
  • Experience scheduling meetings using tools like Zoom or Microsoft Teams.
  • Ability to work autonomously in a remote setting while ensuring reliable communication and productivity.
  • Familiarity with ATS, CRM systems, or HRIS platforms is preferred.
  • Background in healthcare recruiting, clinical staffing, credentialing, or similar areas is advantageous.
  • Knowledge of reporting, databases, advanced Excel functions, or project coordination is a plus.
  • Bachelor's degree or equivalent professional experience is desirable.
