Job description

Role Overview

We are seeking an Onboarding Specialist to facilitate a seamless and compliant introduction experience for employees joining a services organization based in Boston, Massachusetts. This contract role centers on managing onboarding workflows, maintaining precise HR records, and assisting new hires and internal stakeholders through essential pre-employment and onboarding steps. Candidates should demonstrate strong HR administrative skills, proficiency using HRIS platforms, and an aptitude for handling confidential information with thoroughness and discretion in a regulated setting.

Primary Responsibilities

  • Manage comprehensive onboarding processes to guarantee employees complete all necessary paperwork, screenings, and preparatory tasks efficiently and on schedule.
  • Ensure employee records in HRIS systems are accurately maintained, addressing discrepancies with meticulous attention to detail.
  • Collaborate with HR teams, hiring managers, and other departments to provide a uniform and organized onboarding experience.
  • Prepare and handle employment documentation in strict alignment with company policies and relevant regulatory standards, including HIPAA compliance.
  • Respond promptly to employee inquiries regarding onboarding procedures, policies, and administrative HR issues.
  • Track onboarding progress, monitor pending tasks, and engage stakeholders to maintain adherence to planned start dates.
  • Assist with employee relations by appropriately escalating concerns and fostering effective communication throughout the onboarding process.
  • Contribute to HR operational improvements such as workflow or system updates relating to onboarding and employee administration.

Key Requirements and Qualifications

  • Proven experience in human resource administrative roles with a specialization in onboarding coordination.
  • Practical experience using HRIS platforms to administer employee information precisely.
  • Knowledge of employee relations concepts and capable of managing sensitive situations confidentially and tactfully.
  • Experience operating within HIPAA-regulated environments with an understanding of managing confidential data securely.
  • Excellent organizational capabilities to juggle multiple assignments, deadlines, and follow-up actions.
  • Strong communication skills, both written and verbal, for effective interaction with employees, managers, and HR partners.
  • High level of accuracy and attention to detail in documentation and data processing.
