Job description
Job Purpose
This role is focused on keeping facility assets running smoothly across buildings, roads, offices, landscaping, utilities, and related infrastructure. The position covers inspection, upkeep, repair coordination, contractor oversight, budget support, reporting, and adherence to health, safety, environmental, and quality requirements. It also supports preventive maintenance planning and ongoing improvements that align with organizational goals.
Facility Inspections and Maintenance Oversight
- Carry out routine checks of buildings, roads, offices, landscaping, utilities, and furniture using standard inspection checklists.
- Spot maintenance concerns and make sure corrective work is completed without delay.
- Act quickly when facility alarms sound, equipment fails, breakdowns occur, or occupants raise service requests.
- Oversee repair and maintenance work performed by internal staff and external contractors.
- Confirm that all maintenance activity follows safety rules, quality expectations, and relevant industry standards.
- Track the working condition of essential infrastructure such as drainage networks and submersible pumps.
Operations and Contractor Management
- Raise, allocate, and follow up on maintenance work orders and related tasks.
- Work with Supply Chain Management on contractor appointments and procurement-related activities.
- Review service agreements and monitor them to ensure they meet operational needs.
- Check contractor output and verify that completed work is acceptable before it is sent for approval.
- Keep watch on outsourced service quality, delivery timelines, and agreed service levels.
- Coordinate with contractors, vendors, and internal teams to keep services running efficiently.
Finance, Budgeting, and Reporting
- Support the preparation and monitoring of facility budgets and spending.
- Track payments, review invoices, and check contract compliance.
- Prepare recurring reports covering budgets, contracts, maintenance work, and operational performance.
- Help drive cost-reduction and energy-efficiency initiatives.
- Complete quarterly evaluations of suppliers and contractors.
- Assist with SAP-based budget tracking and issue resolution.
Compliance, Safety, and Policy Implementation
- Maintain compliance with health, safety, environmental, and quality management requirements.
- Prepare daily work permits, Job Method Statements (JMS), and Point of Work Risk Assessments (POWRA).
- Draft and implement facility management policies, procedures, and operating guidelines.
- Coordinate with housekeeping teams to keep the workplace clean and hygienic.
- Support investigations into facility incidents and help implement corrective actions.
Preventive and Lifecycle Maintenance
- Create and implement preventive maintenance schedules and asset lifecycle plans.
- Arrange regular inspections and upkeep activities so facility operations remain uninterrupted.
- Monitor asset performance and recommend replacement or upgrades where needed.
Administrative and SAP Duties
- Submit Purchase Requisitions (PRs) in SAP for departmental needs and projects.
- Prepare Goods Receiving Notes (GRNs) and Service Receiving Notes (SRNs), ensuring SAP entries are accurate.
- Issue final acceptance certificates for completed projects.
- Flag discrepancies in invoices, contractor submissions, and supporting documents.
- Prepare monthly SAP reservation tickets and stationery requirement records.
- Compile departmental information and produce MIS reports and operational documentation.
- Draft awareness campaign materials and departmental forms as required.
Qualifications
This position calls for a diploma or bachelor’s degree in Engineering, Facility Management, Business Administration, or a similar field, along with 2 to 3 years of experience in a supervisory or specialist facility management role. Practical exposure to building maintenance, cleaning services, catering services, and broader facility operations is required, as well as hands-on involvement in maintenance coordination, renovations, and space planning. Knowledge of HSE requirements, compliance rules, and risk assessment methods is expected. Experience with budgeting, cost control, contractor coordination, and resource planning is also needed. Additional training in EHS, supervisory management, or computer/technology-related subjects is preferred.
