Role Overview

This position is for an Executive Assistant to support the Managing Directors within the Tax team. The role is pivotal in managing daily operations, optimizing team workflows, and enabling senior leadership to focus on strategic goals. Candidates should be calm under pressure, detail-oriented, solution-focused, and comfortable engaging with senior stakeholders. Key responsibilities encompass proactive planning, streamlining processes, and maintaining operational excellence.

Key Duties

  • Provide end-to-end diary management to optimize leaders’ schedules and priorities.
  • Coordinate meetings and logistics including agendas, room and video conferencing bookings, ensuring smooth facilitation.
  • Manage complex travel arrangements covering flights, accommodations, visas, and local transportation while ensuring cost efficiency.
  • Handle financial administration such as expense processing, invoice submission, and liaising with finance and billing departments.
  • Maintain data integrity within Salesforce CRM to support pipeline visibility and accurate activity tracking.
  • Prepare, format, and verify quality of documents across Word, Excel, and PowerPoint platforms.
  • Organize events and venues, managing logistics for both internal and client-related occasions.
  • Coordinate onboarding for new hires to ensure operational readiness.
  • Manage team operations including holiday records, holiday cover for fellow executive assistants, and continuity of support.
  • Attend meetings to take minutes, track actions, and ensure follow-ups are completed.
  • Support internal communications via newsletters and updates.
  • Handle general administrative and operational tasks to maintain efficient day-to-day functions.

Required Qualifications & Experience

  • Proven background as an Executive Assistant, preferably in professional services or a dynamic operational setting.
  • Exceptional organizational skills with meticulous attention to detail and strong time-management capabilities.
  • Ability to juggle multiple priorities while maintaining operational discipline.
  • Strong interpersonal and stakeholder management skills.
  • Proactive, adaptable, and focused on solutions.
  • High discretion and professionalism in managing confidential matters.
  • Proficiency with Microsoft Office Suite including Word, Excel, and PowerPoint.
  • Experience with CRM or ERP software is advantageous.
  • Fluency in Arabic and English required; additional languages are beneficial.
