Role Overview
We are seeking an Office Manager & Generalist to oversee daily office operations in Bangkok, manage administration with Thai authorities, banks, and external partners, as well as serve as the trusted Executive Assistant to the CEO. This pivotal role demands calmness under pressure, discretion with sensitive matters, and maintaining stability in the office environment. It extends beyond typical office hours, requiring occasional support for the CEO outside regular times, balanced with flexible arrangements.
Key Responsibilities
- Manage day-to-day activities in the Bangkok office including supplier coordination, logistics, mail, document flow, supplies, visitor reception, and office maintenance.
- Take personal responsibility to maintain a clean, well-organized, and visitor-ready office environment, addressing minor issues promptly and keeping common areas well looked after.
- Serve as the primary liaison with Thai governmental bodies, banks, and service providers, overseeing company bank accounts, BOI compliance and reporting, work permit and visa processes for foreign employees, social security registrations, and Department of Business Development filings.
- Coordinate and maintain company contracts, filings, licenses, employment paperwork, and administer a digital filing system on SharePoint.
- Enhance and sustain office operational structures including internal workflows, filing, expense and invoice processes, onboarding procedures, and office policies to ensure consistency and avoid drift.
- Support local HR functions such as onboarding, employee queries, enforcing company standards, and escalating critical matters to the CEO.
- Provide direct assistance to the CEO by managing expense reports, following up on tasks, handling special projects, preparing meetings and minutes, correspondence, and translating during meetings including coordination with the Indonesian office.
- Act with sound judgment and discretion to manage office matters in the CEO's absence, distinguishing what needs local decision-making versus escalation.
Candidate Requirements
- Minimum five years of experience in office management, senior administrative roles, or executive assistance supporting founders or senior executives.
- Comprehensive knowledge of Thai business practices involving banks, Revenue Department, BOI, Social Security Office, immigration and Department of Business Development, including managing reporting cycles and document requirements to completion. BOI promoted company experience preferred.
- Exceptional discretion handling confidential, legal, and financial information, knowing when to escalate issues to the CEO.
- Ability to take ownership in a dynamic, fast-growing company, designing and implementing organizational systems autonomously while knowing when to seek guidance.
- Consistent reliability ensuring issues are addressed promptly without repeated reminders.
- Maturity in managing occasional communication outside office hours as part of senior executive support, balanced with respecting personal boundaries.
- Fluency in Thai and professional-level English for both written and verbal communication, including regular translation duties.
- Advanced proficiency in Microsoft 365 applications, including Excel (pivot tables, XLOOKUP/VLOOKUP, formulas), Outlook, Word, Teams, and SharePoint for managing team-wide digital filing systems.
- Strong interpersonal skills combining politeness and firmness to hold suppliers, partners, and colleagues accountable to deadlines.
- A proven history of independently managing responsibilities without need for repeated instruction.
Preferred Qualifications
- Experience working in startups, technology companies, or international SMEs.
- Background supporting foreign founders or executive leadership.
- Prior work experience with BOI promoted companies.
- Familiarity with business tools such as HubSpot and Xero.
