Role Overview
The Office Coordinator for the SMO Office will play a central role in managing daily operations, providing key administrative support, and ensuring that the office functions smoothly. This position acts as a crucial link among executives, consultants, and managers to support the overall objectives of the office.
Key Responsibilities
- Oversee the office calendar, scheduling meetings and managing executive appointments.
- Arrange meeting agendas, take accurate minutes, and follow up on action items till completion.
- Serve as the main communicator between the SMO Office, portfolio managers, consulting team, and external parties.
- Organize and maintain comprehensive records, official correspondence, and filing systems.
- Handle travel planning and various administrative logistical tasks.
- Assist in preparing management reports, crafting executive presentations, and drafting internal communications.
- Monitor implementation of decisions and follow up on deliverables to ensure they are completed on time.
- Keep track of governance measures and escalate issues or overdue tasks following procedural guidelines.
- Deliver consistent operational and administrative support to optimize office efficiency.
- Participate in special administrative projects and handle other assigned tasks as needed.
Qualifications & Skills
- Bachelor’s degree or diploma in a related discipline.
- Between 0–3 years of experience in office administration, executive support, or a similar capacity.
- Prior exposure to senior management support or experience in PMO/SMO settings is advantageous.
- Excellent organization and time management, able to juggle multiple priorities.
- Fluency in both Arabic and English, with strong written and verbal communication abilities.
- Advanced user of Microsoft Office suite; familiarity with Microsoft Teams and SharePoint provides an edge.
- Meticulous attention to detail and ability to handle confidential information sensitively.
- Demonstrated strengths in meeting coordination, minute-taking, and timely follow-up.
- Effective problem-solving approach and a proactive, service-focused attitude.
