Role overview

Homestead Land Holdings Limited is hiring an Office Administrator for an established vacancy in Kitchener, Ontario. This is a full-time, on-site position with a schedule of 40 hours per week and a compensation range of $39,000 to $44,000.

In this role, you will be a key point of contact for current and prospective tenants. The position focuses on helping lease apartments, managing administrative procedures tied to the office, and providing support to the rest of the team as needed.

Core duties

  • Handle rental questions received by phone or fax.
  • Receive rental applications and collect last month’s deposits.
  • Respond to tenant questions about accounts and office procedures.
  • Answer incoming calls and reply to emails.
  • Accept rent payments by cheque or money order and log them on deposit sheets.
  • Assist with superintendent questions related to current and future tenants.
  • Suggest available apartments and arrange viewing appointments for prospects.
  • Prepare and complete general office documentation.
  • Carry out light cleaning tasks when required.
  • Manage parking agreements and cancellations.
  • Process notices to vacate and notices to rescind.
  • Handle transfer requests.
  • Inform approved applicants of the outcome of their applications.
  • Support lease signing activities.
  • Conduct pre-vacate, move-in, and move-out inspections.
  • Work through the accounts receivable report.
  • Do door-knocking activities for rent reminders, rent collection, and N4 notices.
  • Process the availability report.
  • Record work orders and service requests for residents.
  • Deliver notices of entry and legal documents to residents.

Qualifications

The ideal candidate has prior professional administrative experience and is comfortable working in a busy office environment. Strong customer service ability, solid interpersonal skills, and clear verbal and written communication are important. You should be able to juggle multiple tasks, set priorities effectively, and use basic office tools such as Microsoft Office, email, and data entry systems. Dependability, strong attention to detail, and safe work habits are also essential.
